Main and Scope of the Job

The role of commercial coordinator is to support commercial and partnership operations, including managing administrative tasks, coordinating sales activities and ensuring efficient processes are in place and followed.


Duties and Key Responsibilities

Partner and contract administration:

* Provide structure to partner engagement.
* Disciplined use of the company's CRMs, keeping records up to date.
* Manage and report on contract review dates monthly.
* Complete company governance on all service partners and advertisers, including yearly review.
* Take a birds-eye view of invoicing (commission and sales) and collaborate with relevant stakeholders where needed.
* Audit repository holding commercial documentation.
* Produce a monthly enquiries and complaints report and share with stakeholders.
* Complete reasonable ad-hoc administrative tasks from time to time
* On occasion, support with preparing marketing reports alongside the Commercial Marketing Manager


Publishing Support:

* Fulfil basic publishing duties, including confirmation of paper order and the pull of member mailing lists.
* Ensure third-party advertising is approved by appropriate stakeholders and support the Commercial Marketing Manager with protecting the NRLA brand.


Sales Administration:

* Provide administrative support for Partnership Managers and the B2B Sales team with raising invoices (marketing, events, contract management fees).
* Share update to team on outstanding issues; invoices, complaints, etc.


Person Specification

Qualifications:

* Ideally holds an entry-level Administration qualification or equivalent experience.


Skills and Abilities:

* Proactive individual with a problem solver mindset.
* Ability to identify opportunities for efficiency and instigate change.
* Highly organised and stickler for attention to detail.
* Strong communication skills with internal and external stakeholders were required.
* Being able to prioritise tasks and meet deadlines.
* Proficiency in the use of Microsoft programmes.


Experience:

* At least 2 years of experience in administration.
* Proven track record with supporting multiple functions, particularly in a sales environment.
* Familiarity with CRM systems is desired but not essential


Knowledge:

* Industry knowledge is beneficial but not a specific requirement

Member and colleague support:

* Oversee any enquiries and complaints from start to finish, acting as the first line of defence to the Commercial team.
* Share recommendations with colleagues to improve member experience.


Events administration:

* Provide the Commercial team with administrative support for raising invoices, sending and receiving documentation and managing engagement.
