Engineer Coordinator

What You'll Be Doing
As our Engineer Coordinator, you'll take ownership of engineer scheduling, customer updates, and job preparation. No two days are the same, but your key responsibilities will include:
Engineer Scheduling & Support
* Monitoring daily engineer activity to ensure efficient routing and timely job completion.
* Scheduling work while meeting strict SLAs for contract, warranty, and group customers.
* Quickly rearranging schedules when issues arise—updating customers promptly.
* Confirming engineers have the correct parts, details, permissions, and access for all visits.
* Checking in with engineers twice daily to track progress, confirm next‑day readiness, and flag any issues early.
Customer Communication
* Keeping customers updated through calls, emails, and other communication channels.
* Confirming upcoming maintenance or installation visits.
* Rebooking aborted or suspended calls and clearly explaining next steps, charges, or requirements.
* Providing billing updates for additional labour time or delays where needed.
Permits & Site Access
* Making sure all required permits, passes, and site bookings are arranged in advance.
* Confirming access for locations such as shopping centres, hospitals, bases, and museums.
Reporting & Administration
* Producing accurate reports and updating call logs with clear, detailed notes.
* Managing returns and ensuring customers are informed of next steps.
* Reviewing previous jobs to ensure nothing has been closed incorrectly.
* Actively seeking additional work when engineer availability is low.
Daily Coordination Tasks
* Checking engineer start‑of‑day status and notifying customers of expected arrival times.
* Ensuring parts are delivered, correct, and accounted for.
* Numbering and preparing jobs for the following day and notifying sites of AM/PM or first‑call slots.
* Contacting customers for PSTD bookings using a thorough follow‑up process.
What We're Looking For
This is the right role for you if you are:
* Exceptionally organised and detail‑focused
* Comfortable juggling multiple tasks in a busy service environment
* A confident communicator (phone and email)
* Able to remain calm, professional, and proactive when plans change
* Skilled at prioritising and independently solving problems
Experience in scheduling, coordination, customer service, or service centre operations is highly beneficial.
