This position requires good communication skills, empathy, organisational ability, and a commitment to promoting NHS careers and high‑quality learning experiences for all apprentices.


Main duties of the job

Coordinate and organise apprenticeship programmes and learner sign‑ups.
• Deliver inductions, workshops and careers‑related training.

• Liaise with training providers, managers and the Apprenticeship Co‑ordinator.

• Represent the Work‑Based Education Team at internal and external events.

Detailed job description and main responsibilities

The Apprenticeship Officer will be placed within the Work-Based Education Team and will have the knowledge and skills to work at a high level of competence within agreed protocols. The post holder will monitor and oversee apprenticeship programmes and provide pastoral support to all apprentices. They will also support the Work-Based Education Team in the delivery and implementation of training, career events, work experience and pre-employment programmes.

MAIN DUTIES

· Co-ordinate, plan and organise multiple complex apprenticeship training programmes, make relevant adjustments to ensure all learners receive appropriate support, experience and knowledge for their career aspiration.

· Develop and facilitate the delivery of training/Induction, e.g. apprenticeship and careers workshops, group work and practical activities.

· Deliver training to groups or individuals on apprenticeship, work experience, pre-employment and careers programmes.

· Co-ordinate the initial sign up of apprentices and working closely with training providers.

· Assess learner’s needs to consider appropriate programme and make judgements to determine most appropriate programme for the leaners needs.

· Implement, evaluate and modify complex data/information, in order to achieve measurable outcomes working alongside the administrator.

· Monitor and track progress of learners on a regular basis; update records upon completion of all appropriate training programmes on an intricate database. Resolve any learner issues appropriately with the learner, Apprenticeship Co-ordinator, manager and training provider regular via tripartite meetings

· Navigate spreadsheets and present reports on apprentices

· Commence identified individuals onto the Apprenticeship programmes.

· Be able to navigate the Digital Apprenticeship Service database, add learners and extract data

· Carry out initial follow up visit of learners commencing an apprenticeship programme, to offer appropriate support and guidance and

· To visit learners and offer pastoral support throughout the programme, identifying any issues and reporting concerns to Apprenticeship Co-ordinator.

· Contribute to the development of protocols for the Work-based Education Team.

· To accurately type correspondence and reports, summaries and other documents.

· Organise apprenticeship programmes in range of departments, supporting students in securing employment.

· Organise apprenticeship programmes for widening participation groups, for example Disabilities, Veterans and NEET students. This will require the post holder to be able to match job opportunities with student competences in order to signpost them appropriately.

· Be involved in further developments in relation to apprenticeship programmes and career events.

· Assist in the organisation of careers events, pre-employment programmes and work experience events.

· Support Integrated Care Partnership (ICP) working

· Support career pathway website development and maintenance.

· Facilitate and attend internal and external career engagement events with our local schools, colleges and employer partners.

· Support the Work Based Education Team in marketing, road shows to raise awareness of apprenticeships and raise awareness of the department.

· Plan and organise award ceremonies to celebrate staff on completion of their training, programme of learning and apprenticeships.

· Maintain stock control of general admin supplies.

· General administration duties, eg, booking training rooms, preparation of handouts, setting up training rooms, by liaising with the administrator.

· Assist with the day to day running of the Work Based Education team duties

· Liaise and update Work-Based Learning Lead around any issues related training.

COMMUNICATION

* Be responsible for sharing information appropriately regarding all NHS careers and pathways across the NHS. This will require the ability to use different methods of communicating dependant on the audience’s needs e.g. apprentices, school children, long term unemployed, students with learning disabilities etc
* The post holder will be required on occasion need to align unpredictable student expectations with career opportunities. This will require persuasive, motivational and negotiating training skills.
* Demonstrate empathy and have an approachable and helpful demeanour.
* Maintain good communication skills when dealing with internal and external staff.
* Communicate sensitive related information to appropriate member of staff.
* Communicate effectively and professionally with colleagues.
* Answer the telephone according to Trust policy and translate written and verbal messages as required.
* Use the Hospital information support system and other computer systems
* Be responsible for maintaining written or electronic records in line with relevant policies, legislation and guidance
* Ensure accurate, up to date information is available to the wider multi-disciplinary team.
* Report any incidents, accidents and complaints to line manager.
* Maintain staff confidentiality at all time as per Trust policies
* Report any changes to line manager.
* Promote and educate others regarding the Work-Based Education Team
* Provision of feedback to learners and managers related to their training.

TRAINING AND DEVELOPMENT

* Attend all mandatory Trust training sessions and any sessions relevant to the job role.

* Attend team communication meetings and any meetings relevant to the area of work
