Job overview

The expectation of this post holder will be to support their team, department and organisation to achieve the Trust’s Values in their day to day work. These are:

The post holder will achieve this by providing effective customer service and administrative support to the team. This will involve dealing with general queries from colleagues/members of the public, either face to face, over the phone and overseeing administrative systems and processes.

The post holder will provide general co-ordination of the service/department to ensure the smooth running of the service. This includes maintaining confidentiality, supporting colleagues and managing the work of others.

The post holder will consistently deliver a “client-focused” service which promotes good customer service and effective working relationships.

The post holder will provide a responsive and efficient administrative service to meet the needs of the team. The post holder will use their reason, intellect, and judgement to work on their own initiative to deal with matters on behalf of their Manager.

The post holder will be an effective decision maker, who is able to prioritise own workload whilst responding to interruptions. The post holder will be able to deal with unpredictable work patterns and proactively deal with issues without reference to others.

This post is full time with the requirement to work on site for a minimum of 3 days per week.

Main duties of the job

Key Responsibilities:

Provide a high quality confidential and comprehensive administrative service.

Manage the diary and make decisions on behalf of Heads of services within B&D Adults in prioritising and re-arranging diary commitments.

To provide administrative support during monthly AD/DD/LT meetings when required.

The production of agendas and coordination of meeting papers, ensuring that key documents are available within defined timescales.

To monitor and set reminders for service leads in order to ensure timely responses to complaints.

Computer/Administration/Performances Support

Update and maintain existing databases and support the implementation of new systems.

Responsible for the compliance, accuracy and maintenance of both local service data systems and the service’s performance with the Trust wide information systems such as Rio and PowerBi.

Communication:

Develop and maintain an up-to-date Directorate staff database to facilitate effective communication.

Liaise with IT, Estates and Stores teams to repair broken and faulty fixings and equipment.

Responsible for communicating with staff and external stakeholders on news, events and services.

High Cost Area Supplement - Outer London

This post also attracts payment for High Cost Area Supplement of 15%of the basic salary (minimum payment of £4,714 and a maximum payment of £5,941 - per annum, pro rata for part time).
