Part Time Office Manager – 3-4 days per week

Job description: We are looking for a highly collaborative, capable and proactive Office Manager to be responsible for and be the main point of contact ensuring the smooth day-to-day running of our Edinburgh office.
As a small company we need someone who can handle a wide range of tasks, can work independently, is a fast learner and willing to take on additional responsibilities as required as the role evolves.
The is a part time office based role within our Edinburgh Office, reporting to the HR Manager. We are flexible on the days/hours worked and may consider a full time role depending on the candidate.
Duties will include:
* Co-ordinate Health, Safety & Security requirements within the office - PAT testing, fire risk assessments, maintenance of equipment and regular tests.
* Ensuring the training of internal First Aiders & Fire Wardens is kept up to date
* Monitoring the VinciWorks risk assessments and dealing with concerns, including the ordering of equipment to support staff in the office and working from home
* Working with Michelin colleagues on Health and Safety procedures and audits
* Help support the sustainability of our office
* Managing the Travelperk travel booking system for the business & providing support with booking travel
* Managing the various admin related apps the company has in place (Parkalot, Sign-In, VinciWorks)
* Maintain training schedule and compliance report
* Liaising with the Tanfield building management and security on a regular basis
* Attending tenant meetings with other Tanfield residents
* The ordering of office supplies, gift vouchers, stationary and weekly food shop for the colleague canteen.
* Arranging Townhall meetings & helping with the IT set up of these meetings
* The planning and execution of company events – Summer/Christmas Party, Easter/Halloween celebrations and charity/volunteer/D&I events
* Supporting the HR Department with various colleague initiatives eg photo wall, org chart updates, recognition pins and creating content on Canva for internal TV slides
* Managing the Gifts Register for the business
* Support meeting requirements including catering orders
* Booking external meeting rooms, catering, restaurants and tickets for events
* Dealing with any internal and outgoing mail, including couriers
* Ensuring that areas are kept clean and tidy & safe
* Creating purchase orders for purchases.
* There will be various ad hoc tasks required by the Exec team
Essential requirements:
* 2-3 years experience in a similar role
* Excellent IT skills with good knowledge of Word, Excel and Powerpoint
* Great attention to detail
* Able to take the initiative and be proactive
* Fast learner
* Strong communication skills
* Discretion when dealing with confidential information
* Strong team player with "can-do" attitude
* Ability to multitask and prioritise workload
* Permit to work in the UK
