The Crosslands surgery is seeking a friendly, hardworking individual to join our busy 4 partner practice. The role is for an experienced full-time receptionist/administrator working 37.5 hours per week with the flexibility to work additional hours during absence of colleagues.

Main duties of the job
This is a role providing support to the reception team with good communication skills both face to face and over the phone.
Initially, the role is on a fixed term 6 month contract with a view to a permanent position.

Job responsibilities
Below is a list of main duties you will be required to assist with following induction and training:
Process repeat prescriptions according to inhouse process.
Answer the telephone and make appointments for doctors and practice clinicians. Deal with general enquiries.
Note down details of home visit requests on Systmone. Take patient's name, address, telephone number and reason for request. Put the call through to the doctor on call who will assess the urgency.
In urgent cases (patients arriving at the surgery or ringing in) the doctor should be notified at once.
Inform the clinicians if a patient arrives late.
Process online consultations.
Register new patients and make appointments for a health checks.
Scan and process incoming mail.
Book hospital transport for patients with outpatient appointments. Complete the relevant transport form, scan and email to respective hospital email addresses. Follow-up for confirmation of receipt and inform patient once booked.
Arrange District Nurse visits through local clinic for patients needing treatment at home by sending a request through to GP.
Contact relevant hospitals/referral service for patients who have had referrals sent but have not received an appointment.
Amalgamate new patient medical records for summarising.
Process private services fees from patients.
Contact patients by phone, text or letter for follow-up or review appointments.
Liaise with hospital and community services to chase patient appointments and reports. Update patients and doctors with information required.
Recall of patients on chronic disease registers and those due invitation for review.
Retrieve and re-file records as requested, ensuring that strict alphabetical order is adhered to.
Retrieve medical records and prepare for returning to patient support services when patients leave the practice.
Keep waiting room tidy. Check heating and ventilation accordingly.
Complete security checks at the end of the day.
All other duties which may arise as agreed with the partnership and Practice Manager.
Qualifications
* Educated to GCSE standard (or equivalent) with 5 passes grade A-C / 6-9 including maths and English.
* Good level of general computer skills.
* Good knowledge of Microsoft Office and Systmone.
* Good working knowledge of office management procedures.
* Knowledge of/sensitivity to multicultural issues.
* An appreciation of customer care standards.
* Good organisational skills.
* Excellent interpersonal and communication skills.
* Ability to work under own initiative.
* Ability to work as part of a team.
* Pleasant, helpful and friendly attitude.
Experience
* Minimum 1-2 years working in a clerical role.
* Experience in a customer facing role within the NHS.
* Experience working in a GP practice.
