We're recruiting an Administrative Assistant to support our Senior Nursing Leadership Team - a pivotal role that ensures smooth operations and helps drive excellence in patient care. As a key member of our support team, you'll provide high-quality administrative and clinical assistance to our senior nursing leaders. Your role will be essential in coordinating activities, facilitating collaboration, and keeping everything running like clockwork. We need you to be dynamic and proactive in organising us!
You'll help us make health happen by:
1. Managing diaries - coordinating schedules to ensure availability for cross-departmental meetings and avoiding clashes.
2. Supporting meetings - planning and delivering meetings, preparing agendas, taking minutes, generating action plans, and following up on outcomes. Supporting and coordinating outside meetings.
3. Overseeing documentation - managing the review and update of policies and documents, ensuring compliance with hospital standards.
4. Creating content - producing and editing presentations, policy documents, work instructions, and newsletters with precision and clarity.
5. Assisting HR processes - acting as a note taker for interviews, appraisals, disciplinary hearings, and grievances. Booking meeting rooms and liaising with HR/Recruitment and the Senior Nursing Leadership Team.
6. Tracking progress - maintaining action logs and monitoring the completion of tasks and projects.
7. Supporting daily operations - helping with departmental management, organisation, and troubleshooting.
8. Handling ad hoc tasks - including filing, data entry, analysis, and research.

* Proven experience in a similar administrative role supporting complex teams or stakeholders across multiple departments.
* Effective communication skills and prioritisation abilities for a variety of senior leaders with competing agendas.
* A proven ability to maintain discretion and confidentiality.
* Networking ability.
* Strong diary management and multitasking skills.
* Confidence in meeting coordination, minute taking, and action tracking.
* A good standard of education, including English and Maths.
* Experience in a healthcare setting (desirable but not essential).
