Program Coordinator
Duration: 12-month contract
Location: London (King’s Cross)
Working Hours: 40 hours per week, Monday–Friday, 9:00–17:00
On NHO weeks: Monday 07:00 start, Tuesday 07:30 start
Onsite Requirements: Hybrid – Onsite in King’s Cross
NHO weeks: 5 days onsite
Other weeks: 3 days onsite
Engagement Type: via PAYE
Hourly Rate: £35.58
Job Overview
The Program Coordinator III supports the delivery of large-scale onboarding events and new hire experiences. This position suits a highly organised, detail-oriented professional who thrives in fast-paced environments and can work under pressure while maintaining excellent customer service. The role involves pre-start processes, event coordination, onsite delivery, and continuous collaboration with global teams.
RESPONSIBILITIES
* Provide operational and onsite support for global new hire orientation events across London, MPK, and Singapore
* Coordinate logistics, room setup, and partner with culinary, security, and facilities teams
* Manage invitations and communications to speakers and new hires
* Deliver in-room support, including public speaking and greeting stakeholders
* Handle inventory management, including lifting boxes and managing swag
* Support queue management for new hire queries
* Complete reporting and audits, ensuring accuracy and attention to detail
* Collaborate with global onboarding and people development teams
REQUIREMENTS
* 3+ years’ experience in event planning, specifically large-scale events or conferences
* Strong communication and customer service skills
* Ability to manage multiple tasks and work in a fast-paced, ever-changing environment
* Proficiency with Google Suite; strong reporting capability
* Excellent organisation, time management, and attention to detail
* Comfortable with public speaking and operating within large event settings
* Experience with project management and process improvement
