Job Overview

An accurate, confidential and supportive administration service for patients, clinical teams, carers and internal and external agencies (e.g. Local Authority, Third Sector, CAIS) in order to provide a safe and efficient patient pathway and provide information and appropriate support to families and carers.

The post holder will ensure the delivery of a comprehensive high‑quality medical secretarial and administrative service to the consultant, doctor, junior medical team and specialist nursing teams, and other health professionals. The post holder will be responsible for the guidance and direction of the team dealing with appropriate day‑to‑day issues, oversee the smooth running of the department and provide support to the line manager.


Main duties of the job

* Provide a comprehensive, high‑quality medical secretarial and administrative service to the consultant, medical team, specialist nursing teams and other health professionals.
* Co‑ordinate and maintain arrangements to facilitate patient progression along a defined pathway.
* Maintain office organisation and monitor the workload related to the administration team.

The ability to speak Welsh is desirable; English and/or Welsh speakers are equally welcome to apply.

Person Specification – Essential Criteria

* NVQ Business Administration Level 3 or equivalent experience, or City & Guilds (AMSPAR) Level 3 Diploma in Medical Administration or equivalent medical secretary experience.
* ILM Level 2 Team Leader, or willingness to work towards and achieve within 2 years, or relevant equivalent experience.
* RSA/OCR Level 3 or equivalent experience or qualification in typing.
* ECDL or equivalent experience.
* Knowledge and ability to use Microsoft Office applications.
* Evidence of continuous personal development.


Person Specification – Desirable Criteria

* Management qualification or working towards.
* NVQ Level 3 Customer Service.
* Knowledge of Referral To Treatment process (RTT).


Experience – Essential Criteria

* Experience of coordinating administration & clerical activities.
* Experience of working as a medical secretary.
* Experience of organising workload and people.


Experience – Desirable Criteria

* Previous NHS experience.
* Experience of producing graphs and statistics.


Aptitude and Abilities – Essential Criteria

* Excellent communication and customer service skills.
* Advanced typing skills.
* Ability to work autonomously.
* Ability to organise and prioritise own workload.
* Ability to take and transcribe succinct minutes.
