We are seeking a highly organised and proactive Executive Assistant to support our growing team based in Woodbridge. The ideal candidate will manage a variety of administrative and marketing tasks, ensuring the smooth operation of day-to-day activities and contributing to the growth and reputation of the business. About The Role
We are seeking a highly organised and proactive Executive Assistant to support our growing team based in Woodbridge. The ideal candidate will manage a variety of administrative and marketing tasks, ensuring the smooth operation of day-to-day activities and contributing to the growth and reputation of the business. This role offers a balance of in-office and remote work.
Key Responsibilities
* Applicant Liaison and Registration: Communicate with potential buyers; Register new applicants and update the database with accurate details.
* Viewing Arrangements: Schedule and confirm property viewings; Coordinate with applicants and vendors to ensure seamless appointments.
* Marketing And PR Support: Create and design marketing materials, including property listings and brochures; Manage social media accounts and PR campaigns to enhance brand visibility.
* Email And Diary Management: Manage the estate agent’s email inbox, filtering and responding to queries promptly; Coordinate and manage the agent's diary, scheduling meetings, viewings, and appointments.
* Report Generation And Analysis: Produce detailed marketing recommendation reports and market analysis.
* Pre-Pitch Preparation: Generate property titles and market comparable's; Assist in preparing bespoke pitch documents for potential listings.
* General Administrative Support: Provide general office support, including filing, data entry, and document management; Assist with any additional tasks as required to support the estate agent’s business.
* Book and organise social events to strengthen client and community relationships.
Requirements
* Experience: Previous experience in a similar role, preferably within the real estate or property sector.
* Skills:
o Excellent communication and interpersonal skills.
o Strong organisational abilities with a keen eye for detail.
o Proficiency in Microsoft Office Suite and marketing tools (e.g., Canva, social media platforms).
o Ability to multitask and prioritise effectively in a fast-paced environment.
* Personal Attributes:
o Proactive and self-motivated.
o Discreet with confidential information.
o A team player with a positive attitude and the ability to work independently.
Working Hours
* 09:00 – 17:00 Monday – Friday.
