Job Description
The key responsibilities for the Corporate Receptionist role based in London is the following:
3. Delivering surpassed 5* customer service
4. Liaising with PA's/EA's (of the chairman and CEO) to arrange meetings, events, also within other offices outside of the UK.
5. Maintenance and on-going development of London office space
6. Devise and maintain office systems and records, including data management and filing
7. Ensure that London office security processes are clearly defined and implemented including the issue and management of access passes, keys/fobs
8. Making sure data, files, first aid/fire warden are up to date at all times
9. Liaising with catering team for breakfast and lunches and room setup
10. General administration
11. Reporting any issues with maintained in the building to facilities team promptly
12. Working with Butlers to ensure all meetings are catered for.
13. Printing, photocopying, labelling, filing, and Binding of documents
14. Liaising with suppliers to order stationary and other office equipment
15. Meeting and greeting clients
16. Booking meetings
17. Arranging couriers (Rush Couriers, DHL, Royal Mail, FedEx)
18. Answering and forwarding phone calls
19. Screening phone calls
20. Sorting and distributing post
21. Meeting room management
22. Announcing guests on arrival, following security procedures
23. Switchboard management
24. Drafting formal letters using Microsoft Word
25. Dealing with enquiries in a courteous and professional manner (face-to-face, over the phone and through email)
26. Using Microsoft Excel to do recordings in spreadsheets
27. Handling post and deliveries
28. Ensuring data is backed up at the end of every working day
29. Ensuring strict compliance with all the company's administration policies, procedures, and ways of working
30. Arranging transport for senior office personnel
31. Dealing with tenant's request via email
