Medical Secretary – Internal Only
Band 4, 37.5hrs per week, based at the Cumberland Infirmary, Carlisle. This role is within Urgent & Emergency Care (U&EC) and is a permanent position.
The role requires a competent and professional Medical Secretary to provide high standards of administration support to the clinical team, liaise with other departments, patients, NHS Trusts and external agencies, and be the first point of contact for patients. A professional, patient‑focused approach and the ability to manage a busy workload efficiently are essential.
Main duties of the job
Provide high‑quality administrative support to the U&EC secretarial team, manage schedules, coordinate with external agencies, and ensure efficient day‑to‑day delivery of services within the Emergency Department (ED), Same Day Emergency Care (SDEC) and Acute Medical Unit (AMU).
Job responsibilities
* Act as the first point of contact for patients requiring a professional, patient‑focused approach.
* Provide high standards of administration support to the clinical team.
* Liaise with other departments, patients, NHS Trusts and external agencies.
* Maintain efficient day‑to‑day service delivery across ED, SDEC and AMU.
Person Specification
Knowledge and Experience
* Medical terminology.
* Microsoft Office.
* PAS.
* Understanding of the Data Protection Act, Freedom of Information Act, health records, defensible documentation, health and safety legislation, and equality issues.
* Medical secretarial duties and medical audio typing.
* Operating word processing and computer packages.
Qualifications
* GCSE English language (minimum grade C) or equivalent.
* RSA level 3 typewriting/word processing or NVQ level 3 business administration, or equivalent.
* Medical secretarial diploma or equivalent.
Skills and Aptitudes
* Effective communication and interpersonal skills.
* Able to analyse complex facts or situations.
* Able to use initiative appropriately within a team environment.
* Able to work without supervision.
* Ability to organise and prioritise workload to meet deadlines.
Other requirements
* Willing to develop further relevant skills.
* Willing to travel cross‑site for work and/or meetings.
