Summary of the role The Office Support Partner role is an exciting opportunity tosupportthe Facilities,Applied Sciencesand People and Culture teams. In this full-time position, youllsupport the various teams during their busy times which willinclude, butnot be limited to;company events, providingreception cover andarranging training. To provide the best support to visitors and colleagues, the hours for this role are between08:00 16:30.Youmust be available to work in the office Monday to Friday.Due to the nature of the role, having your own transport is essentialto be able to assist with collecting catering when necessary. The role may occasionally involve supporting evening events, so a flexible approach to working in the evening (approximately once a quarter) will be required we want work to work for you and will give you as much notice as possible and encourage you to take the time back when its mutually suitable. Thisposition reports tothe Head of People and Culture. What can you expect? Reception Servingas the primary contact for incoming calls, visitors and general enquires Issuingsecurity passes to visitors,contractorsand colleagues Assistingwith setting up meeting rooms forinternal and externalmeetings and events Sortingmail and processingdeliveries Cleaningcoffee machines (daily whenrequired) Checkingand re-stockingkitchen (whenrequired) Facilities Liaisingwith external partners to co-ordinate and support visits to Lhasas offices Administration and organisation of external visitors e.g. parking, meeting room bookings Leadingthe organisation of internal and external events, to include room booking and set up/clear down, ordering catering, (and collection whenrequired), parking allocation when necessary People and Culture Screen CVs against job descriptions, share suitable applicants with hiring teams, and decline unsuccessful applications. Schedule interviews, coordinate diaries, send invitations, update the recruitment system, and compile feedback. Manage the onboarding process for newemployees, including issuing contracts, obtaining references, completingright to workchecks, and creating system accounts. Assistwith employee benefits administration, including managing joiners and leavers for healthcare schemes and private medical insurance. Arrange occupational health appointments. Coordinate training requirements, including liaising with external providers, booking meeting rooms and inviting attendees Review People & Culture processes with the aim ofidentifyingopportunities to automate or integrate AI solutions whereappropriate. Skills and attributes Demonstrable experience in PA and/orreception duties Strong written and communication skillsfor interacting with internal colleagues, external partners, visitors, and contractors. Experience in organising and co-ordinating internal and external events, including booking meeting rooms, managing catering, and ensuringlogisticsrun smoothly. Flexibility to adapt to last-minute changes or challenges, particularly with event planning and support Ability to manage multiple tasks, events, and responsibilities simultaneously while staying organised Ability to prioritise workloads effectively to ensure deadlines and tasks are metin a timely manner Attention to detail Able to work well in a team and on your own Willingness to be flexible and adaptable Good knowledge of Microsoft Office programs Ability to handle sensitive information, especially when supporting interviews, onboarding, and other People and Culture-related tasks, with discretion and professionalism Experience implementing AI or process automation (desirable).
