Overview
An exciting administration opportunity has arisen to work within Beech Ward at Torbay Hospital. We are looking for a full-time (37.5 hours) Ward Administrator to join us on a fixed 1 year term contract. Beech ward is a 16-bedded inpatient Mental Health Ward that supports primarily older adults with functional mental health difficulties. This is a rewarding and unique administration role providing insight into adult mental health services and a range of therapies and interventions, with opportunities for continuing development and career progression in administrative, management and/or clinical roles depending on your area of interest.
You will be supported to reach your full potential, with opportunities for training and development. You will be responsible for delivering high-quality administrative support to enable the provision of the best possible care to service-users.
Responsibilities
* Work at the ward reception area and act as the first point of contact in the ward, greeting patients and family members and managing ward access.
* Answer phones and liaise with external agencies.
* Provide support to the Ward Manager and MDT (multidisciplinary team).
* Take minutes for MDTs, business meetings and ad hoc professional meetings.
* Amend and update staff rotas (Health Roster).
* Order supplies and upload patient records and staff files.
* Manage petty cash and produce packs for patients.
Qualifications
Essential
* Business Administration Level 3 or T Level qualification in Management and Administration, or equivalent experience.
* GCSE English or equivalent.
* Evidence of continuing professional and personal development.
Desirable
* ICDL (International Computer Driving License) or equivalent experience.
Experience and Skills
* Excellent organisational skills and ability to prioritise workload and adapt to change.
* Experience of working in an administrative or secretarial team and handling confidential information.
* Ability to take accurate formal and informal minutes.
* Intermediate IT skills in Microsoft Office (Word, Excel, PowerPoint, Outlook) and experience with diary management and arranging appointments.
* Experience or understanding of creating electronic records and filing systems; ability to meet deadlines under pressure.
* Awareness of serving as the first point of contact for patients, visitors, and staff and managing front-of-ward operations, including reception duties and patient inquiries.
