We are looking for a professional and experienced Executive Assistant to provide full administrative support at Senior Level to 3 ELT members and to ensure the smooth management of day to day affairs handling sensitive and complex issues in a professional and objective manner working as part of a collaborative team.
Key responsibilities as an Executive Assistant will be:
* Manage ELT member’s electronic diary, assessing priority of appointments and reallocation as necessary
* Redirecting/delegating e-mails as appropriate
* Book meeting rooms and ensure that the rooms are supplied with the relevant equipment i.e. video conferencing, stock supplies are kept full
* Coordinate external visits and corporate events
* Book any relevant external venues and catering
* Organising travel liaising with travel agent and host sites as needed.
* Taking action points and writing minutes
* Planning and organising meetings and events e.g. supplier/customer visits
* Preparing presentations
* Drafting and editing documents.
* Processing credit card expenses and mileage claims
* Maintaining Team holiday calendars
* Collating and presenting data
* Creating and updating organisation charts
* Provide cover and support to PA team
To succeed as an Executive Assistant we ask that you are:
* Experienced Personal Assistant at Senior Management level.
* Exceptional interpersonal and communication skills, to enable professional interaction with a wide range of contacts, both internally and externally
* Ability to deal with sensitive information with complete discretion and to maintain the strictest confidentiality.
* Excellent attention to detail, with the ability to maintain a high level of accuracy.
* A flexible, pro‑active approach to work including the ability to prioritise and re‑prioritise
* Can remain calm and professional under pressure
* Ability to deal with sensitive information with discretion and to maintain confidentiality.
* Excellent IT skills, including a working knowledge of Microsoft Office Word, Excel, PowerPoint and Teams.
