The purpose of this role is to provide an efficient and high standard of clerical service within Maternity, ensuring a welcoming and professional service for patients. The role supports the smooth running of admin & clerical processes within the Maternity service and provides admin support to multiple community midwifery teams. Patient administration underpins the patient journey and supports clinical teams in delivering high-quality care, making a real difference to the patient experience. Effective patient administration also ensures high data quality and optimal use of capacity and resources.
Responsibilities include:
1. Booking, rescheduling, and cancelling appointments using the EPR system
2. Maintaining databases
3. Answering phone calls, taking messages accurately, and dealing with them promptly
4. Providing compassionate service to patients
5. Managing emails and maintaining patient records
6. Using ScanIt to digitize records and correspondence
7. Liaising with clinical staff
8. Reporting IT and equipment issues
9. Reception duties
10. Understanding patient pathways and handling patient queries with judgment and initiative
The ideal candidate will be enthusiastic, motivated, well-presented, and capable of working independently and as part of a team. Knowledge of EPR is desirable but training will be provided. The role offers opportunities for progression within the wider administrative team.
Essential skills and qualifications include:
* Proficiency in Microsoft Office, including Outlook, Word, and basic Excel
* Experience with hospital systems like Viewpoint, Badgernet, EPR, ScanIt, and Attend Anywhere
* Understanding of patient confidentiality and data protection
* GCSE Maths & English or equivalent NHS experience
* Experience working in the NHS or similar environment, under pressure, following protocols, and providing excellent customer care
* Strong communication, time management, and attention to detail skills
Desirable criteria include understanding of trust policies on patient access and confidentiality.
