Event Coordinator and Administrator – Contractor
Job Summary
We’re looking for an enthusiastic and collaborative events coordinator and administrator to oversee the year-round program of events throughout the site. This job is suitable for someone who enjoys high levels of detail and organisation, and who can keep on top of a busy and varied schedule of events across the site. A keen eye for detail and an ability to build and maintain relationships with customers, colleagues, and other stakeholders is crucial to succeeding in this role.
* Manage all event preparations and operations with internal and external teams (e.g., venue booking/hire, sending invitations, drafting programmes, running events) to ensure they meet business goals;
* Communicate with external guests regarding talks, travel, and reimbursements;
* Organise office events such as coffee breaks, summer parties, Christmas parties, etc.;
* Manage site operations and day-to-day functions to ensure the office runs smoothly, efficiently, and in compliance with company policies;
* Provide administrative support to staff and management, including handling correspondence and scheduling meetings;
* Maintain inventory of office supplies, place orders, and arrange payments;
* Handle ad hoc requests and urgent cases to support business teams.
Person Specification:
* Well-organized with multi-tasking skills
* Effective communication and problem-solving abilities
* Strong interpersonal and communication skills
* Good working knowledge of MS Office
* Proficient in spoken and written English and Mandarin
