We are seeking a highly organised and proactive Office and Membership Administrator to join our team and provide vital administrative and CRM support across the organisation.In this role, you will reconcile membership subscriptions, maintain the accuracy of our membership database (CRM), support membership and committee communications, coordinate internal meetings, and deliver excellent service to our members. You will also help maintain website content and support the production of promotional materials and diaries.If you are a skilled administrator with strong IT skills, attention to detail, and a passion for working in a member-focused environment, we’d love to hear from you.
Responsibilities
* Reconcile the monthly subscriptions, including group office collections, and produce monthly reports for the Commercial and Membership Director.
* Ensure accurate and up-to-date information is maintained within the CRM system, supporting the integrity of membership data, including but not limited to committee records, subscriptions, and case logs.
* Facilitate the effective use and continuous development of the CRM system, including data accuracy, reliable reporting, and updated custom views.
* Act as a point of contact for CRM-related support across the organisation, providing assistance to staff and liaising with IT partners as necessary to resolve issues.
* Assist with the coordination and implementation of all committee updates across the organisation, ensuring timely internal communication and accurate CRM updates.
* Set up and coordinate both in-person and virtual meetings for staff and sub-committees, as required by your line manager.
* Assist with the co-ordination of the Commercial and Membership diary.
* Take notes for staff meetings and prepare accurate minutes for the Membership Sub-Board and other relevant meetings.
* Offer backup support for the collection of membership subscriptions by direct debit.
* Respond to member queries and provide exceptional service across all communication channels.
* Maintain and update the Membership section of the website.
* Collate recruitment materials and coordinate the production of membership marketing materials.
* Liaise with affinity partners to promote membership services and maintain strong relationships.
* Provide general office support and undertake any additional duties necessary to meet team and organisational objectives.
Skills and Qualifications
* A minimum of 5 GCSE’s or equivalent at Grade C or above, including English and Maths.
* Level 2 word processing or equivalent.
* A minimum of 2 years’ experience working as an administrator or secretary in a busy office environment.
* Experience and proficiency in Microsoft Outlook, Word, Excel and IT systems.
