Job overview

This is a fixed term/secondment until 31/03/2026. If you are a Hywel Dda University Heath Board employee and are applying for this post as a secondment, agreement for the secondment is needed from your current manager prior to application.

As part of our on-going commitment to the delivery of high quality, reliable services for our patients, an exciting opportunity has arisen in the Primary Care Optometry Team within Hywel Dda University Health Board.


Main duties of the job

As a WGOS 4 Pathway Co-ordinator, you will support the transformation of eye care services across the Health Board.

The post holder will be responsible for maintaining records relating to the WGOS 4 pathway, including entering accurate data into the WPAS computerised system, whilst demonstrating the ability to handle patient information i.e. responsible for the administration and validation of clinical pathways. This will be carried out by liaising with clinicians and contractors in both Primary and Secondary Care, in a sensitive and confidential manner. Additionally, the post holder will be responsible for patient allocation in Primary Care, using clearly defined and agreed processes and the continued monitoring of the pathway.

The post will maintain effective relationships with stakeholders, using these to ensure the role supports the validation process surrounding WGOS 4. You will be expected to work closely with both clinical and managerial colleagues and provide service analysis, to ensure the delivery of high quality and appropriate services to patients.

We have over 13,000 staff and together we provide primary, community, in-hospital, mental health and learning disabilities services.

We work in partnership with the three local authorities, as well as public, private and third sector colleagues, including our valued team of volunteers.

* Five community hospitals: Amman Valley and Llandovery hospitals in Carmarthenshire; Tregaron Hospital in Ceredigion; and Tenby and South Pembrokeshire hospitals in Pembrokeshire
* Two integrated care centres: Aberaeron and Cardigan in Ceredigion, and several other community settings
* 47 general practices (six of which are health board managed practices); dental practices (including four orthodontic); 97 community pharmacies; 43 general ophthalmic practices; and 8 ophthalmic domiciliary providers
* Numerous mental health and learning disabilities services

Person specification


Qualifications and Knowledge

* GCSE or equivalent in English and Maths, grades A-C
* Knowledge of Myrddin and WPAS
* Level 4 qualification in Administration or Customer Care or acquired equivalent experience
* High standard of IT knowledge and evidence of working with systems, databases and spreadsheets
* Knowledge of Primary Care Optometry
* Knowledge and experience of working with HB information systems
* Degree educated
* Expert knowledge of Myrddin


Language Skills

* Welsh Speaker (Level 1)


Experience

* Experience of working in the NHS – Primary and Acute Service
* Experience of working in an administrative post
* Experience of using Microsoft Office, including Word and Excel
* Experience of scheduling outpatient appointments and/or admissions
* Experience of using full range of IT systems and patient data systems
* Experience of working in a multi-disciplinary team
* Experience of handling customer complaints
* Experience of supervising staff
* Experience of using digital dictation systems
