Job Title: Estates Maintenance Manager Location: UGC House, Byker Reporting To: Ian Tubman Project Director Job Summary: The Estates Maintenance Manager is responsible for overseeing the maintenance and management of the estates facilities. This role involves conducting regular inspections, ensuring compliance with statutory regulations, and supervising the maintenance team. The ideal candidate will have strong leadership skills and a thorough understanding of building systems and regulations. Key Responsibilities: Manage the Maintenance Office and Maintenance Desk Oversee the operations of the Maintenance Office and Maintenance Desk, ensuring timely response to maintenance requests and inquiries. Ensure all new requests and suitably logged and subsequently tracked to satisfactory conclusion. Provide reports on all live, delayed or incomplete tasks. Allocate workload and supervise trades staff. Manage relationships with trades staff, contractors and service providers. Provide technical support for trades staff and service providers. Conduct Inspections: Perform regular inspections of buildings, grounds, and equipment to identify maintenance needs and ensure safety and efficiency. Prepare detailed reports on the condition of the facilities and recommend necessary repairs or improvements. Carry out post inspections to ensure works completed to correct standards and manage any follow-on tasks. Manage Statutory Compliance: Ensure that all estate operations comply with relevant health, safety, and environmental regulations. Maintain accurate records of inspections, service reports and compliance activities. Supervise Maintenance Team: Lead and manage the maintenance team, including hiring, training, and evaluating staff performance. Develop work schedules and assign tasks to ensure efficient operation and maintenance of facilities. Sub-Contractor Management: Arrange and obtain quotations from sub-contractors for various maintenance projects. Conduct negotiations with sub-contractors to ensure competitive pricing and quality service. Provide clear instructions to sub-contractors and oversee their work to ensure high-quality standards. Review the quality of work and manage follow-up actions as necessary. Emergency Response: Develop and implement emergency response plans and procedures. Act as the primary point of contact for maintenance-related emergencies. Communication: Frequent communication with internal stakeholders, external contractors, and vendors is essential. Priorities: Ability to effectively manage multiple priorities and adapt to changing circumstances is required. Schedule: The Maintenance office is to be covered from 8:15 AM to 5:15 PM, Monday through Friday. Whilst contracted hours are 36.25 hours per week, these core hours must be covered and managed to ensure service continuity. Occasional requirements to work evenings or weekends based on project needs or emergencies. Availability for on-call duties and emergency response as needed. Travel: Occasional travel may be required to meet with contractors, attend training sessions, or visit remote facilities. A valid driver's license and access to reliable transportation may be necessary for travel between sites. Qualifications: Recognised qualification in Facilities Management, Engineering, or a related field (preferred). Proven experience in facilities management, maintenance supervision, or a similar role. Strong knowledge of building systems, safety regulations, and compliance standards. Excellent leadership and team management skills. Strong problem-solving abilities and attention to detail. Effective communication and interpersonal skills. Experience in arranging and negotiating sub-contractor agreements. Customer-focused mindset with a strong commitment to service excellence. Proficient in using maintenance management software and Microsoft Office Suite.
