Business Support Assistant (Part-Time, 25 Hours/Week)

📍 Hybrid – Cambridge (Minimum 50% onsite, rising to 60%)

📅 18‑month contract (End date: 30 June 2026)


Overview

We are seeking an enthusiastic, action‑oriented, and highly organised Business Support Assistant to provide exceptional administrative and operational support to a research-focused team based in Cambridge. This role is ideal for someone who thrives in a fast-paced environment, is proactive, and enjoys supporting a variety of people and activities across a dynamic organisation.


Role Summary

You will support managers and their teams with day‑to‑day coordination, planning, and administrative tasks. The successful candidate will have excellent interpersonal skills, strong judgement, and the ability to manage multiple priorities while maintaining confidentiality.


Key Responsibilities

* Coordinate complex diaries across multiple time zones for managers and team members.
* Arrange travel bookings and support expense submissions for senior staff.
* Plan and deliver internal meetings, off-sites, social events, and staff celebrations, including room/venue booking, managing invitations & RSVPs, organising catering, preparing agendas, taking minutes, tracking actions, and producing event materials.
* Maintain and regularly update team distribution lists. Provide logistical support for visitors before, during, and after onsite engagements.
* Ensure adherence to internal administrative procedures and guidelines.
* Provide administrative cover for colleagues when needed; support the planning and execution of wider business events across the Cambridge sites; collaborate closely with support staff at other local offices to provide consistent experiences.


Skills Required

* Strong written and verbal communication skills.
* High level of professionalism and confidentiality.
* Exceptional organisational ability and attention to detail.
* Calm under pressure, with strong problem-solving abilities.
* Collaborative, approachable, and solutions-focused.
* Proficient in Office tools (Word, Outlook, PowerPoint, Excel) and Teams or similar platforms.


Experience Required

* Administrative, business support, or customer service role within a fast-paced environment.
