Job Description Admin Assistant Sutton Coldfield Hours: Monday – Friday 9am – 17:15pm Salary: £24k We are seeking a highly organised, proactive, and discreet General Administrative Assistant to join our clients busy Private Client Department. This role supports fee earners and the wider team in delivering exceptional service to clients. You will play a vital role in ensuring smooth day-to-day operations, from handling correspondence and maintaining records to managing appointments and assisting with document preparation. Key Responsibilities: Provide day-to-day administrative support to solicitors and paralegals within the Private Client Department. Manage incoming and outgoing correspondence, including post, emails, and telephone calls. Prepare, format, and proofread letters, legal documents, and reports. Maintain and update client files (both paper and electronic) in compliance with firm procedures and data protection requirements. Schedule and coordinate client meetings, conferences, and appointments. Monitor key dates, deadlines, and action points to ensure timely completion. Assist in the organisation of internal and external events. empathetic approach. Handle confidential and sensitive information with discretion at all times. Liaise with other departments to ensure smooth workflow. Maintain stationery and office supplies for the team. The Ideal Candidate: Previous administrative experience is essential. Strong organisational skills with the ability to prioritise and meet deadlines. Excellent written and verbal communication skills. Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint). High attention to detail and accuracy. Ability to work independently and as part of a team. Professional, approachable, and discreet manner. Discreet and trustworthy, with a strong sense of client confidentiality. Calm under pressure and adaptable to changing priorities. Positive and proactive attitude.
