The Opportunity

An exciting opportunity has arisen for a Personal Assistant to provide high-level administrative and secretarial support with excellent communication skills to a Global Finance team.

This role will suit an individual with experience of supporting multiple Senior members of the Finance Business Operations Team, including Procurement, Payroll, Finance Operations, PMO and their wider teams as needed, who is confident at balancing the needs of those individuals, with a desire to learn the fundamental activities of each team.

The key aspects of the role are as follows:

1. Diary management
2. Reviewing appointments and taking action/responding where appropriate
3. Co-ordinate all aspects of travel for overseas and UK trips, working with global travel team and ensuring all risk assessments and approvals are completed
4. New starter inductions – taking ownership of the process to onboard new staff and welcome them to Arup
5. Organising meetings, Teams, In-person, with internal and external stakeholders
6. Advising staff/reception of visitor arrivals, greeting visitors, organising provision of refreshments, arranging working lunches
7. Preparation of expense claims, invoice approvals, desk booking and other routine administrative tasks as required by the Team Leaders
8. Maintaining intranet sites and Teams pages as instructed
9. Arranging off-site workshops / booking Restaurants etc.
10. Ad hoc administrative support as required
11. Managing and responding to emails
12. Working with other PAs in the Finance Group to provide support and ensure consistent service across Finance

Is this role right for you?


We’re looking for a candidate who can demonstrate:

13. Excellent coordination, organisation and administration skills and have a keen eye for detail
14. Confidence when working under pressure
15. Effective prioritisation, planning ahead
16. Ability to co-ordinate instructions from multiple sources including email, Teams message/calls/video, in-person and from calls
17. Excellent computer skills and knowledge of MS Office Suite including Teams, PowerPoint, Adobe, Excel and People onboarding systems
18. Knowledge of following tools is desirable: Concur (Purchase Orders, Expenses and Travel), Conferma, Evolvi.
