Job Description
Summary:
Provides a full Telephonist / Receptionist service by directing callers and visitors to appropriate personnel in the firm by the use of a computerised telephone system to answer incoming calls and by performing the following duties.
Essential Duties and Responsibilities
* Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department by the use of a computerised telephone system.
* Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable,
* Manage the firms in / out board to ensure details are kept up to date.
* Answers questions about organisation and provides callers with address, directions, and other information.
* Welcomes visitors, determines nature of business, and announces visitors to appropriate personnel.
* Ensure all visitors are made aware of the sites no smoking policy and health and safety regulations
* Ensuring the Reception area is maintained to a high standard and that all deliveries have been removed from the reception area and that all fire doors remain clear.
* Monitor the CCTV system.
* Organise the use of Couriers for collections and or deliveries including ensuring appropriate paperwork is completed.
* Organise the Firms meeting rooms daily and ensure that they are ready for occupation, control their booking through the reception diary.
* Ensure that meeting rooms are tided and prepared after each meeting and that dishes are washed and replenished in preparation for the next meeting.
* The typing of documents, letters, faxes etc to help secretarial staff on an ad hoc basis. Audio typing would be an advantage but not essential.
* Performs other clerical duties as needed, such as filing, photocopying, faxing information
The above list is not exhaustive and the Receptionist will be expected to be flexible and carry out other related duties at the request of his / her Supervisor and or Manager.
