Radiotherapy Patient Pathway Coordinator

We are pleased to invite applications for the role of Radiotherapy Patient Pathway Co‑ordinator. In this key role, you will support a wide range of administrative functions to ensure that our Radiotherapy patients experience smooth, efficient, and well‑coordinated pathways throughout their care. You will be responsible for managing complex patient journeys, ensuring all relevant information is accurately collected, recorded, and communicated in line with departmental requirements. The role involves direct contact with patients and carers, as well as regular interaction with a variety of clinical and administrative professionals both within the Trust and with external healthcare partners. We are looking for someone with excellent communication and organisational skills, a proactive approach, and a commitment to delivering high‑quality, patient‑centred support.

The purpose of this role is to support radiotherapy operations by undertaking diverse administration tasks to the highest professional standards, working with Medical, Radiographic, Physics and other Administrative colleagues.


Main duties of the job

This is a key administrative role in the Radiotherapy Department, responsible for providing support across a range of administrative functions including reception cover and radiotherapy patient bookings. The post holder will liaise with other departments to ensure appointments are booked correctly within their area of responsibility and cancer wait time frames. Key tasks include patient registration onto the electronic referral and record systems, clinic preparation, assisting national data collection, and communicating with patients throughout their pathway. The role requires flexible working to support the service, with the radiotherapy service open from 7 am to 7 pm and the booking team 8 am–5 pm; occasional work outside these times and on weekends or public holidays may also be required.


Job responsibilities

Ensure patients are registered onto the radiotherapy data system and appointments booked in line with national and departmental waiting times. Make outpatient appointments and prepare for clinic visits. Generate patient appointment letters and liaise with transport providers to ensure efficient service. Deal with referrals promptly and book appointments per relevant pathways. Enter referral information into the Radiotherapy departmental database accurately and timely, supporting monthly statistical analysis and ad hoc reporting. Provide lists of patients requiring transport and liaise with medical secretaries for scanning information. Prioritise booking of radiotherapy appointments once referrals received. Supervise receptionists and administration assistants to cover core and extended work tasks. Make judgements in urgent referral bookings, liaise with Radiotherapy Section Manager, and collate patient records for treatment preparation. Use the patient administration system (APAS) and ARIA (Radiotherapy booking system) and NHS Spine for patient demographics. Collaborate with multi‑professional teams for smooth service delivery, including clinic and planning meetings. Liaise with external departments for appointment arrangements, gathering required information, and handling patient concerns. Act as non‑clinical advice and guidance provider to patients and relatives, face‑to‑face or via telephone. Provide routine information requiring tact or persuasive skills. Maintain a duty of care in the use of equipment and resources. Develop communications with patients and staff, manage monitoring of activity and data, review completed treatment activity details, and communicate with Finance and other agencies as needed. Undertake surveys or audits within the work environment to test new procedures and complete staff surveys. Operate within approved procedures, SOPs, good practice and established standards.


Person Specification


Qualifications

* Good standard of general education to NVQ level 3/A levels or demonstrable equivalent level of experience


Knowledge and Experience

* Demonstrable administrative experience in a range of roles and procedures
* Use of computerised department record and verification systems
* Experience of collaborating with other staff groups
* Excellent customer care skills
* Experience of working in a radiotherapy department
* Ability to understand medical terminology
* Excellent knowledge of medical terminology

£27,106 to £28,850 a yearPer Annum Pro Rata including high cost area supplement
