Main duties of the job
Key Responsibilities
* Knowledge of a full range of secretarial procedures and software programmes through RSA3/NVQ3 or equivalent experience
* To be able to use SystmOne, the Trust's electronic health record system
Ensure a full, efficient and Secretarial / Administrative service is provided.
Provide comprehensive personal assistant support.
Set up the necessary systems for the office and adapt these as necessary within the developing role.
Manage heavy diary commitments to enable smooth running of the schedule.
Ensure high level of confidentiality especially with regard to client related work.
Ensure letters, memos and reports from the Department are of high quality.
Responsible for ordering items, checking within budgets, ensuring goods are received.
Responsible for disseminating information to all qualified and unqualified staff in a timely manner.
Supervise and monitor return of requested information, documentation and work streams from the operational team to the office to ensure effective workflow.
Provide cover for other Secretarial / Administrative staff when required.
Organise meetings as appropriate including preparing the agenda, obtaining and compiling and preparing support papers.
Organise workshops as appropriate including booking.

Person Specification
Qualifications
* 5 GCSE's C or above
* Further education or training in administration/personal assistant
Experience
* 4 years experience using Word
* 2 years experience working at a senior administrative level
* 2 years experience supervising and appraising administrative staff
* Experience handling confidential information
* Previous experience in administration in a healthcare setting
