Part time, 18.75 hours per week (4 days per week, no nights, no Bank Holidays, no weekends).
Salary
£24,937 – £26,598 per annum (pro rata, year).
Job Overview
The post holder will support the Manager/Deputy in promoting the smooth running of the ward and providing administrative and secretarial support to both the Manager and ward clerks. The role will work closely with the Lead Midwife/Manager and members of the multidisciplinary team to provide comprehensive and confidential secretarial and administrative services on up to two wards/areas.
Main Responsibilities
* Provide secretarial support to the Lead Midwife/Manager.
* Track new starters and appraisals, ensuring probationary targets are met.
* Organise and circulate meeting agendas, minutes and distribute appropriately.
* Ensure Trust governance policies for patient and ward documentation are in place and adhered to.
* Assist in collating information for complaints, PALS enquiries and investigations.
* Analyse and respond to service user feedback to improve women's experience.
* Support the rota coordinator and review annual leave allocation.
* Assess mandatory training requirements on a monthly basis and send reminders.
* Assist with project work and audits, including collaboration with estates and facilities.
* Coordinate matrons rounding and support recruitment administrative processes.
* Schedule vaccinations and referrals for babies.
* Support KPI reviews and relevant action implementation.
* Order ward goods and supplies when required and maintain equipment logs.
* Organise fire evacuation training for staff.
Person Specification
Essential Criteria
* Computer literacy.
* Previous administrative experience.
* Public facing/team working experience.
* GCSE Maths and English grades (Pass or equivalent).

* Previous role in a healthcare-focused environment.
