Legal Secretary – Residential Conveyancing Property

York, North Yorkshire YO1

Salary depending on experience

Working full time Permanent Monday to Friday – hybrid working option could be available for the right person

The role is based within York City centre and easily accessible on foot from York Train Station and on a bus route.

Are you an experienced legal secretary looking for a dynamic role in residential property? Hawk 3 Talent Solutions are seeking a proactive and highly organised Residential Conveyancing Secretary for a firm of solicitors based in York, North Yorkshire to support fee earners with a wide range of secretarial and administrative tasks. This is a fantastic opportunity to join a collaborative team and contribute to high standards of client care and operational efficiency.

Key Responsibilities

Secretarial Support

Prepare legal documents and correspondence using digital dictation and word processing.
Manage diaries, schedule meetings, and maintain accurate records.
Assist with financial documentation including invoices and fund distribution.
Provide guidance to junior secretarial staff and cover reception duties when needed.
Document & File Management

Handle daily filing, open and close client files, and ensure secure document storage.
Prepare and dispatch mail accurately and promptly.
Maintain organised filing systems to support smooth workflow.
Client Interaction

Deliver professional and courteous service to clients in person and over the phone.
Handle enquiries discreetly and communicate effectively with clients and colleagues.
Uphold high standards of professionalism and confidentiality.
Teamwork & Development

Work independently and collaboratively within the legal team.
Prioritise tasks efficiently and adapt to changing demands.
Take initiative within established guidelines and pursue ongoing professional development.
Preferred Skills & Experience

2+ years of legal secretarial experience (training provided).
Fast and accurate audio and copy typing.
Proficiency in Microsoft Word and Excel.
Familiarity with legal case management software (e.g., Partners for Windows) is a plus.
Strong grammar, spelling, and legal terminology knowledge.
Excellent communication and organisational skills.
Ability to manage confidential information with discretion.
Flexible and resilient under pressure.
