Overview

This post is part of our Executive Office team. The team provides administrative and general support to the Commission's senior management team and decision‑making bodies including the Commission, Executive Board, and Leadership Team, and guidance to staff across the Commission on these responsibilities. You will develop a good overview of the current business context and priorities, forward plan to ensure the provision of all necessary information, and work with Directors and Directorates to co‑ordinate, commission and deliver timely material, escalating issues as needed. The role involves interfacing with Members of the Senedd, external stakeholders and staff, requiring diplomacy and the ability to operate across levels and functions. You will prepare well‑written briefings and initial drafts of reports or presentations for Directors.

You will provide a professional, timely, efficient and effective secretariat service to our decision‑making bodies, arranging meetings, managing agendas and taking minutes, proofreading and editing papers, and advising on corporate processes. Strong verbal and written communication skills are essential, as is the ability to be decisive and handle sensitive and confidential matters when required.

In addition you will support corporate activities and initiatives under the leadership of the Head of CAMS, team leaders and/or the Executive Office Manager. Duties include supporting projects with CAMS teams and internal communications responsibilities (notably intranet). The post holder is expected to proactively deliver high levels of customer service with strong organisational and communication skills and a collaborative work ethic.


Key tasks

1. To support the Head of CAMS and the Executive Board Clerk in providing a timely, efficient and effective secretariat service to bodies such as the Senedd Commission, Executive Board and Leadership Team; this includes managing agendas and taking minutes, proofreading and editing papers; advising on corporate processes; commissioning/co‑ordinating briefings for senior staff/Senedd Members; organising meetings; and using the Senedd Business Management System/Sharepoint for collation and distribution of papers.
2. To support corporate activities by the team, including arranging corporate events, meetings and notes/minutes, and supporting internal communications (in particular relating to the intranet).
3. To support the needs of CAMS Service teams more broadly in relation to project work and other administrative duties (e.g., financial). This typically includes ensuring payment of invoices and claims follows proper processes, maintaining accurate financial records for audit purposes, and ensuring that expenses relating to Members of the Senedd are published correctly. Other examples include overseeing systems for hotel bookings and train travel or compiling expenditure information to inform financial forecasts.
4. To provide comprehensive, efficient and proactive support to Directors in all aspects of their duties, including managing their diaries and forward planning; handling busy mailboxes and communications; preparing briefings and initial drafts of reports and papers for the Directors.


Qualifications and skills

1. Interpersonal skills and sound judgement: experience in a dynamic environment; ability to respond to different perspectives while maintaining trust, integrity and handling sensitive information.
2. Prioritisation and accuracy: able to manage multiple tasks to tight deadlines with high service standards.
3. Knowledge and Experience: ICT aptitude, especially Microsoft Office.
4. Communication skills: excellent written and oral communication.
5. Team working: effective as part of a small, customer‑focussed team and collaborative across teams, services and directorates.
6. Language and literacy requirements: Speaking, reading and writing at Level 4 Welsh language capability; ability to engage in discussions, understand correspondence and write appropriately for readers.


Salary and benefits

Alongside your salary of £30,870, Welsh Parliament contributes £8,943 towards you being a member of the Civil Service Defined Benefit Pension scheme.
