An exciting opportunity has arisen to join the Respiratory Team as a Respiratory Admin Support Manager. The Respiratory Team provide community and secondary care patients with Respiratory conditions both in hospital and at home .

The role will involve supporting the Clinical Nurse Specialists in the management of the admin team as well as providing a comprehensive administrative and typing service to the team

The post is based at Singleton Hospital, but will be required to work on other sites across Swansea Bay as required

The successful candidate will maintain a direct and close working relationship with the Respiratory Team, as well as Nursing, Therapies, Consultant and Medical staff, other staff within the Department, Medical Secretaries, Medical Support Manager and other support staff

Main duties of the job

·Management of annual leave ,PADR’s sickness ,inductions and development of the admin team

·Typing and use of DMS System

·Booking appointments

·Managing databases

·Arranging referrals

·Answering the telephone, taking messages and dealing with patient’s requests

·Ordering via the Oracle system and managing stock

·Exercise initiative, operating within procedural guidelines and to plan ahead and prioritise workload in response to changing demands.

·A sound knowledge of medical terminology and experience in the use of hospital based IT systems and proficient in utilising Microsoft Office would be an advantage as well as an understanding of patient pathways.

·It is preferable that applicants have recent previous experience within a similar setting.

Essential Qualifications and Knowledge

Essential criteria

1. Educated to Diploma level qualification or Advanced Keyboard skills/qualification e.g. RSA 111 (or equivalent)
2. knowledge and understanding of corporate procedures, the structure, policies, plans, regulations, management, and operational procedures of the Organisation acquired through on the job training, short courses, and experience

Desirable criteria

3. Experience of setting up and using filing/IT systems Experience of dealing with confidential information
4. Management of sickness ,PADRs ,induction and staff development

Abilities

Essential criteria

5. Ability to use the full suite of Microsoft office and audio typing,provinding an efficient and accurate secretarial service
6. Able to understand and maintain confidentiality
