Job Purpose

Working as part of HMP Inverness’ Finance & Administration team, the post holder will be responsible for the daily running of the Criminal Desk function, ensuring compliance with SPS policy and procedures. The Criminal Desk Administrator will ensure that all warrants and documentation received from the Court and other external agencys is actioned timeously, in line with policy.

The job holder will be part of a multi-functional team, providing administrative support to the administration team at HMP Inverness. This will include relief cover for posts commensurate to their grade, as deemed necessary by the Office Manager.

Responsibilities Responsible for the calculation, interpretation, accurate and timely validation of all untried and convicted warrants, including ensuring all dead and non-returns warrants have been disposed of by the Courts. Administration of Court bails, liberations, PF releases and prisoner escort bookings. Post holder ensures that all documentation is in place for liberation of prisoners including licences and notifying Police. Receive, record and arrange the service of indictments/citations, returning same to relevant Procurator Fiscal Office. Responsible for actioning all e-mails received and being mindful of their sensitive nature. Communicating effectively with internal and external contacts in a polite and courteous manner. Co-ordination and administration of Parole process in line with relevant policy and procedures. Ensuring compliance with record retention policies by processing and storing all relevant documentation pertaining to a prisoners time in Establishment. A minimum of five National 5 (or equivalent) qualifications, including English and Mathematics or relevant experience gained in a similar role/environment.

Examples of competency in MS Office Packages including Excel, Word and Outlook within an administration environment.
