Based: Newcastle

Department: Finance and corporate services

Contract: Permanent

Working Hours: 16.5 hours per week - two days per week (days flexible)

Salary: £11,154 plus Chamber benefits


Role Overview

We are looking for a dedicated and motivated individual to deliver exceptional service and support to the occupants of our Newcastle office, The Stamp Exchange.

As the community host, you will be the primary facilities support for the Chamber and its occupants. You will also act as the general receptionist, addressing member queries and performing various administrative tasks. This is a permanent office based position at The Stamp Exchange.

Your main responsibility will be to create a welcoming and professional environment for businesses and their guests. This role requires excellent communication skills, strong organisational abilities and a passion for outstanding customer service.


What You’ll Be Doing

Responsibilities for the successful candidate include:
* Provide an enthusiastic, warm and memorable welcome to occupants and visitors.
* Take responsibility for ensuring the shared areas of the building are clean, neat and presentable at all times. Daily walk-throughs of the floor to notice any defects, potential future issues and room for improvements to be raised to manager and cleaners.
* Manage boardroom reservations and prep boardroom for bookings by coordinating with customers.
* Diligently follow existing processes and make process improvement recommendations to your manager.
* Keep to health and safety and professional building requirements, ensuring the building is compliant with standards.
* Ensure consumables are kept in-stock and readily available for service users.
* Manage relationships with occupants. Understand their business and curate relevant introductions.
* Have a thorough understanding of OfficeRnD, keeping records fully up to date and utilising reporting to provide useful insights to the business so effective tracking and query resolution can take place.
* Ensure occupants are kept apprised of anything building related which may affect their BAU.
* Help to facilitate events in the office space, including occasional early morning or evening events outside of standard working hours
* Gather feedback on occupant experience (function, aesthetic, content and activities).
* Answer calls for the Chamber and pass on to relevant members of staff.
* Confident in answering basic IT and facilities queries.
* Accept, sort and distribute mail/deliveries to occupants.
* Keyholder and alarm holder for building.
* Other ad hoc admin tasks as assigned by the systems team.

Qualifications

* Minimum of 5 GCSEs or equivalent, including Maths and English


Skills And Experience

* Strong customer experience and hospitality experience
* Team player with strong communication and organisation skills
* Strong time and priority management
* High levels of accountability and ownership
* Enjoy networking and engaging with people
* Previous experience with CRM and booking systems
* Previous experience managing a workplace or office
* Ability to problem solve
* Excellent verbal and written communication skills.
* Proficiency in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), CRM and other business systems.


Other Requirements

* A sense of drive, enthusiasm, hard working and reliable.
* Ability to maintain and promote good working relationships internally and externally.
* Dedicated, focused and determined to succeed.
* Must hold, or be willing to obtain qualifications as a First Aider and Fire Warden.
