Description
As Office Manager, you will be a friendly, organised, and confident individual who will play a key role in business administration. You will be responsible for overseeing the smooth day to day running of the office and troubleshooting any issues that may arise. As chief 'meeter and greeter', your calm, efficient and friendly nature will ensure all visitors receive a warm yet professional welcome. You will manage employee access cards & onboarding office tours as well as ensuring office supplies are well stocked. You will also support various activities within our office linked to wellbeing and social events.
This is a onsite role 5 days week in our Leeds, UK office.
Responsibilities
* Manage and welcoming visitors with our front of house team.
* Onboarding and manage building access controls for new joiners and existing staff members.
* Act as the main point of contact with the building management and utilities firms, ensuring thorough communication when issues arise and ensuring they are managed in a timely way.
* Manage deliveries and post with our front of house team.
* Develop and improve office processes in order to increase efficiency.
* Responsible for Health and Safety within our office, ensuring we have the correct policies in place and that relevant training and information is up to date.
* Financial administration including invoicing and tracking business expenses.
* Working with our ticketing system to log, track, and update all office-related tasks and issues, ensuring visibility and timely resolution.
* Inventory management of office and IT equipment. Ensuring stock levels are maintained and budgets are adhered to.
* Maintain oversight of key events taking place within the office, including social events and wellbeing activities such as monthly lunch sessions, summer parties and seasonal events. Coordinating and collaborating with members of the Social Committee to ensure clear communication and awareness.
* Keeping the office clean and tidy, managing the cleaning contract, providing feedback with a third party.
* Organise and coordinate repairs, maintenance, and service requests with building management and third-party suppliers.
* Assisting and supporting the senior management with day-to-day tasks as well as development and strategic initiatives.
* Act as the go-to person for office queries, encourage collaboration, and role-model a positive, dependable office culture.
Qualifications
* Strong communication and interpersonal skills
* Excellent IT skills and experience of full Microsoft Office suite
* Exceptional organisation skills with good attention to detail
* The ability to identify and implement improvements independently
* Excellent time-management skills and the ability to prioritise tasks independently
* A hands-on and proactive attitude - no task is too big or too small
* Flexibility and adaptability to changing workloads

* The salary range for this role is £30,000 – £36,000
