ROLE AND PURPOSE
To actively explore ways of increasing the trading turnover and profitability of the Catering and Hospitality Service. To lead the development and delivery of an effective marketing strategy maximizing the return on existing investment to improve the financial position of the service with a view to increasing financial stability and long‑term viability. To lead the delivery of a dynamic high quality banqueting, hospitality, wedding and catering service for functions, civic and corporate events held at the City Hall and other venues across the organisation. Acting as key facilitator for business, external and internal customers advising and providing planning on all aspects of catering for events.
PRINCIPAL ACCOUNTABILITIES
1. Leads as main contact for all internal and external customers of the service in relation to functions, banqueting and wedding requirements, maintaining regular ongoing contact with clients, advising on and ensuring a coordinated approach across all areas of the service involved in the delivery of their functions and events.
2. Establishes and maintains excellent working relationships both internally and externally to ensure effective networking with clients and partnership organisations, enabling the service to be promoted in a professional manner, developing and maintaining a coordinated and integrated customer feedback system and ensuring improvements to service are made where appropriate.
3. Provides a courteous and responsive frontline service to maintain a high standard, providing detailed advice and support to customers, officers, elected members and team members.
4. Liaises with customers, investigates customer complaints and reports corrective action to the Catering and Hospitality Manager.
5. Responds to correspondence as required within agreed timescales and to agreed standards, dealing with enquiries from a wide range of people/members/organisations using own judgement and initiative and referring to catering management as required.
6. Maintains specific databases and systems, inputting and extracting data, assisting with the validation of data and supports other system users. Creates, collates, distributes and updates requests for catering and hospitality services to enable the delivery of frontline services.
7. Leads on the development of a comprehensive customer‑focused marketing strategy for the service. Establishes and applies mechanisms for capturing new information and ideas in order to identify new income streams and generate maximum future income, monitoring effectiveness against projected outcomes and recommending further interventions and initiatives as necessary.
8. Supervises the production of high quality food to the agreed standards ensuring consistent exceptional quality services are delivered and presented to all customers.
9. Ensures services are prepared for events and set up to the highest standards and that all necessary resources and equipment are in place ensuring effective delivery of excellent customer services.
10. Ensures robust and effective stock control procedures are in place for function/events, ordering products through nominated suppliers ensuring maximum cost efficiency within the agreed parameters and enabling the service to respond to and meet customer requirements.
11. Assists with the Catering Hospitality Manager to effectively devise, cost, monitor and review all menus and other provisions that attain customer specifications, commercial viability and exceed expectations, including one‑off/special events.
12. Assists in the preparation of staff rotas and working arrangements to effectively meet the needs of the service, ensuring deadlines are achieved with maximum efficiency and minimum costs.
13. Assists with the setting up of rooms, preparation and cleaning of areas required to ensure the operational needs are met and the provision of a clean and welcoming atmosphere is maintained at all times.
14. Supports the achievement of sales revenue targets optimising profitability and efficiency within the service.
15. Contributes to the development and delivery of a long term business plan for the catering and hospitality function including new promotions and initiatives which contribute to business development.
16. Maintains awareness of trends and developments in the catering, bar and hospitality industry deriving the implications for action from information and insight.
17. Prioritises and manages own workload with minimal guidance, using a measure of independence and initiative in order to commence tasks and complete work within deadlines/targets set.
18. Manages a professional, accurate business support function to enable all clients to be clearly advised on costs and invoiced promptly. Instructs external stock takers and monitors levels of gross profit, including all paperwork and transfer notes.
19. Leads on the coordination of training and development activity across the service.
20. Produces accurate, meaningful and timely management information to enable effective management and accurate profit and loss information for the service.
21. Undertakes a range of business development and support duties of a complex nature involving highly sensitive and confidential information and requires a degree of interpretation and initiative.
22. Ensures effective document management systems are in place and that all documentation is accurate and complete and that all documentation is archived in accordance with Company policy.
23. Identifies, develops, monitors and reviews administrative policies and procedures to ensure that legislative requirements are fulfilled and ensures adherence to Company policies.
24. The Health and Safety at Work etc. Act 1974 and associated legislation places responsibilities for health and safety on Hull Culture and Leisure, as your employer and you as an employee of the company. In addition to the Company’s overall duties, the post holder has personal responsibility for their own health and safety and that of other employees; additional and more specific responsibilities are identified in the Company’s Corporate Health and Safety policy.
Compensation Grades: GRADES 6.
Pay Ranges: £29,540.00 – £32,061.00.
