Job Overview

Reconstructive Prosthetics is looking for a full-time service coordinator for the expanding Prosthetics and 3D services. The successful candidate will be required to lead coordination of the day‑to‑day running of the services and manage patient liaisons. This role supports the work of the department by coordinating outpatient appointments, delivery and receipt of medical devices, reception duties, including checking patients in and out. The post is for a 22.5 hours per week between Monday–Friday, with core hours of 9am to 5pm on working days.


Main Duties of the Job

* Contact patients and colleagues with complex and sensitive situations, from a variety of healthcare specialties.
* Undertake updating of patient information, using departmental IT systems.
* Assist in the provision of a comprehensive administrative service for scientific staff: typing general correspondence, reports, clinic letters, and other items required for the efficient operation of the department.
* Maintain strict confidentiality on all matters relating to patients and/or staff.
* Assist in the maintenance of patient files, correspondence, reports, and other documentation.
* Operate various computer software packages.
* Undertake administrative projects to aid the organisation of the department and services, such as creating a digital filing system for referrals.
* Act as receptionist by welcoming and orientating patients and visitors to the department. Participate in the preparation and running of the reception.
* Answer telephone enquiries from patients, medical staff and other hospitals, dealing professionally and referring to the relevant person.
* Prepare out‑patient notes ensuring all relevant documentation is included, where required.


Person Specification


Education / Training / Qualifications – Essential Criteria

* Basic educational attainment such as GCSE English and mathematics, or the potential to achieve at this level.
* Computer literate with experience of using Microsoft Word, Outlook and Excel as well as hospital patient systems.


Work Experience – Essential Criteria

* Experience of working in the NHS or a similar organisation.
* Experience of talking to patients, service users, particularly with awareness of the sensitive nature of visible differences.


Knowledge / Skills / Abilities – Essential Criteria

* Excellent communication skills with the ability to communicate with staff at all levels.
* Ability to develop relationships with people at all levels, to communicate clearly and effectively, and to work as part of a team and adapt quickly to changing situations in a busy environment.
* Ability to work with a high degree of accuracy and attention to detail.


Personal Qualities / Special Circumstances – Essential Criteria

* Friendly and caring manner with patients.
* Able to work in a small team.


Desirable Criteria

* Part of the NBT apprenticeship scheme.
