Overview
The Orders & Logistics Coordinator will be responsible for managing customer orders from entry to delivery, ensuring smooth coordination between customers, vendors, and logistics providers. This role requires exceptional attention to detail, strong communication skills, and the ability to work to tight deadlines while maintaining high levels of accuracy in ERP systems and shipping documentation.
Responsibilities
* Order Processing: Accurately load customer purchase orders into the ERP system and maintain customer order records with data accuracy at all times.
* Vendor Coordination: Place purchase orders with vendors and suppliers in line with customer and business requirements; expedite open purchase orders to ensure on-time delivery.
* Customer Liaison: Communicate proactively with customers regarding order status, delivery schedules, and logistics arrangements; respond promptly to customer inquiries and provide shipment updates.
* Logistics Management: Obtain competitive quotes for worldwide shipments, including a variety of Incoterms; book shipments globally with approved freight forwarders, ensuring all paperwork (commercial invoices, packing lists, certificates, etc.) is correct and sent in a timely manner; coordinate customs clearance processes where required.
* ERP & Portal Management: Keep the ERP customer portal up to date with accurate delivery dates, shipping details, and order status.
Skills & Qualifications
* Essential: Experience in order processing and/or logistics coordination.
* Essential: Strong knowledge of ERP systems (e.g., SAP, Oracle, NetSuite, or similar).
* Essential: Familiarity with international shipping processes and freight booking.
* Essential: Excellent organizational skills and ability to prioritize multiple tasks.
* Essential: Strong written and verbal communication skills.
* Essential: High attention to detail and accuracy in data entry and documentation.
