MAJOR DUTIES AND RESPONSIBILITIES OF THE POST
Reception Duties
1. Ensure efficiency of appointment system for routine and urgent appointments and monitor flow of patients into consulting and treatment rooms
2. Explain practice arrangements and formal requirements to new patients.
3. Respond to all queries and requests for assistance from patients and other visitors
4. Enter requests for home visits into visit book, and onto computer, stating time and including all relevant information. Where necessary inform the duty doctor.
5. Ensure that requests for prescriptions are actioned where possible within two working days
6. Maintain and update patient records
7. Scan relevant documents into patients' electronic records
Management of Appointment Systems
1. Ensure total familiarity with the way the appointment system works
2. Book appointments and recalls efficiently.
Management of Medical Records
1. Ensure that the record is available for the doctor in the instance of urgent consultation if required
2. Retrieve and re-file records as required, ensuring that strict alphabetical order is adhered to.
3. Ensure correspondence, reports, results etc. are scanned in the correct record.
4. Keep records neat and tidy and in good repair with all necessary information recorded correctly on the outer cover.
Operation of Telephone System
1. Receive and make calls as required. Divert calls and take messages as appropriate.
2. Ensure that the answer phone is set correctly at all times.
Start and End of Day Procedures
1. If necessary open up premises at the start of the day, set alarm to day function and make all the necessary preparations to retrieve patients
2. If necessary secure premises at end of the day, ensuring that the building is totally secure and alarm activated.
Any other delegated duties considered appropriate to the post

1. An understanding, acceptance and adherence to the need for strict confidentiality
2. An ability to use own judgement, resourcefulness, common sense and local knowledge to respond to patients' enquiries and requests
3. Excellent communication skills
Job Types: Part-time, Permanent
Pay: From £12.21 per hour
