As an Aftermarket Service Administrator, you will be the first point of contact for external customers and the wider business. You must be able to demonstrate effective communication skills as you will be liaising with team members at different levels and handling incoming calls from customers needing advice and support. You must demonstrate good attention to detail when carrying out administrative processing. Key Responsibilities * Manage electric vehicle (EV) products and service contracts, secured by the External Sales Team, including coordinating with depots to schedule work and optimize engineers’ workload. * Liaise with subcontractors, bus manufacturers, and the warranty department to ensure timely and effective resolution of any support needs. * Coordinate engineer attendance using the Protean system and collaborate with manufacturing and stores departments to ensure necessary parts are prepared for site visits. * Act as the primary point of contact for end users requiring assistance, fostering strong relationships and ensuring a positive customer experience. * Process invoices promptly and accurately, maintaining a high standard of efficiency. * Assist in the planning and execution of warranty call outs and campaigns, ensuring all necessary works are completed within the required timeframes. * Provide support for the warranty processes of GTS and TK products within the Aftermarket Dept, ensuring issues are resolved efficiently. * To assist with booking, planning and processing of additional works outside of contracted customer. * Provide regular feedback to the warranty department, including detailed data on attendance, associated costs, and other key metrics. * General administration tasks are also required in this role such as creating reports, creating spreadsheets. All other duties as requested by the Aftermarket Commercial Manager, Service Manager and Service Team Leader. Experience/Qualifications Essential * Strong knowledge of Excel * Minimum of 5 years relevant sales/customer services relates experience * Evidence of administration experience * At least 1 year’s relevant account management experience * Ability to work to and meet deadlines Desirable * IT related qualifications * Knowledge of Jobshop (Javelin), Protean production, planning, control system
