Were now seeking a dedicated Reservations Coordinator to support our Scottish properties and help deliver a seamless guest experience.
Your Role at a Glance
As the Reservations Coordinator for Scotland, you will manage booking enquiries for Meldrum House, Pine Trees, and East Haugh House. Youll serve as the first point of contact for guests, handling enquiries across phone, email, and web while ensuring accuracy, warm communication, and strong coordination with wider hotel teams.
This full-time, permanent role is based at Pine Trees Hotel and plays a key part in supporting revenue, guest satisfaction, and smooth operational alignment across departments.
Key Responsibilities
Handle guest enquiries and reservations across phone, email, and web in a professional, warm, and service-focused manner.
Accurately process room, dining, spa, and event bookings using hotel reservation systems.
Identify upselling opportunities to maximise occupancy and total revenue.
Coordinate with Front Office, Sales, Housekeeping, Events, F&B, and Golf teams to ensure seamless guest experiences.
Manage booking changes, amendments, and cancellations efficiently, maintaining high guest satisfaction.
Maintain accurate guest profiles, booking records, and support with reporting on trends or occupancy data.
Assist in ensuring all reservation processes reflect the luxury standards of The Monogram Collective.
Support teamwork within the reservations function and demonstrate flexibility for varied shifts, including weekends.
About You
You are well-organised, personable, and passionate about delivering exceptional service. You thrive in a guest-facing environment, take pride in accuracy, and enjoy creating smooth, memorable experiences for every guest who contacts the hotels.
Essential Experience & Skills
Experience in hotel reservations, front office, or a guest-facing role within a 4- or 5-star hospitality environment.
Excellent written and verbal communication skills.
Familiarity with hotel PMS or reservation systems (e.g., Opera).
Strong organisational skills and exceptional attention to detail.
Confidence using sales techniques to promote hotel facilities and services.
A genuine passion for luxury hospitality and delivering exceptional guest experiences.
Preferred
Experience in boutique or multi-property hotel environments.
Additional experience with event or dining reservations coordination.
