We are looking for a highly organised individual with excellent admin skills to join the Apprenticeships Team at the Chorley site of Lancashire Teaching Hospitals NHS Trust. You will provide comprehensive administrative support to enable effective organisation for our apprenticeship programmes, as well as maintain precise and complete records for all our apprenticeship learners.

You will be based at the LIFE Centre at Chorley, a state of the art education centre which has been purpose built o help traditional and non-traditional learners with aspirations of progressing into a career with the NHS. Have a look at where you'll be working
Please note - there will be some cross site working between LTH sites and travel to external events as required.
Main duties of the job
Primarily, duties will include supporting the apprenticeship operations manager and Apprenticeship Business Manager with the maintenance of central evidence bases for each apprentice learner to support compliance against national standards including Ofsted and Education and Skills Funding Agency (ESFA). Utilising established databases and an online educational management tool for apprenticeship training to evidence compliance.
You will also support the organisation of classroom session and apprenticeship meetings. In addition, providing cross cover support across the team as required. He/she will service apprenticeship meetings and provide ad hoc administrative support for senior education leads as required.
The role will include conducting assessments with potential learners and coordinate the administrative elements of the recruitment and enrolment processes onto apprenticeship programmes.

Educational Training Records :
1. Maintain of apprenticeship records, regularly obtaining up to date information from Apprenticeship Programme Leads and departments.
2. Produce and maintain learner tracking to support production of quantitative data
3. Co-coordinating monthly / quarterly meetings, taking meeting notes and ensure provision of relevant documentation.
4. Co-ordinate the assessment and enrolment process of learners onto apprenticeships ensuring cohort number are achieved
Coordination of Teaching sessions - Administration
5. Providing some organisational support for external monitoring events, coordinating resources and documentation as required.
6. Ensuring effective confirmation of arrangements for classroom sessions, resolving any issues arising, liaising with staff as appropriate
7. Liaising with programme leads as directed to maintain full and accurate records of educational delivery including attendance, progress, training records and follow on training requirements for each new cohort of learners.
Team Administrative Support
8. Co-coordinating resources and preparing appropriate documentation, handouts and certificates of attendance for events
9. Learner Recruitment, Induction and Assessment - provide support for internal and external events as required.
10. Work flexibly to support organisation of events as required.
11. Participate in team meetings, performance updates and operational briefs for efficient prioritising.
12. Deal with routine enquiries and telephone calls as required
Person specification
Qualifications and Education
Essential criteria
13. 4 GCSE’s C or above/equivalent qualifications
14. IT level 2 or Business Admin level 3 or equivalent (or equivalent experience)
Desirable criteria
15. Apprenticeship in Business Administration or equivalent broad administrative or secretarial experience.
16. Evidence of ongoing personal development.
Knowledge and Experience
Essential criteria
17. Experience of working within a team, participating in planning and co-ordination of a range of team activities.
18. Substantial administrative or secretarial work experience within a fast-paced, changing environment
19. Knowledge of events organisational processes and administration/ secretarial procedures.
20. Experience of developing effective electronic and manual filing systems and maintaining accurate records
21. Knowledge of apprenticeships systems and processes
Desirable criteria
22. Experience of working in an educational environment.
23. Knowledge of OFSTED or Education and Skills Funding Agency.
24. Experience of working in a healthcare environment.
25. Experience of recording data using Microsoft
26. Experience of networking and negotiating to receive and provide detailed information within deadlines.
