Role Description

An exciting opportunity has arisen for a Procurement Systems and Data Manager within the Department of Finance. The role will sit within our Procurement team and will lead on systems management and integrity of data inputted and extracted on behalf of both Procurement and our internal stakeholders. The departmental vision is to provide a world‑class Financial and Commercial Operating Model that supports the achievements of Research, Innovation, Education, and our One University pillars, with a focus on exploiting the use of technology to harness benefits and progress towards our vision.

We are looking for an individual with substantial experience and skills in system management, analysis and development. Experience in improving data quality related to systems will also be key. You will work with colleagues within Procurement, the wider Finance department, and system suppliers to drive best practice in system usage.

The post holder will work with systems that typically include, but are not limited to, our SAP ERP system, approved product catalogue, a credit rating agency system, and internally written systems utilising both databases and spreadsheets. There will be scope to contribute to the development of existing systems and potential new systems to automate processes.

Data quality is key to our efficient operations; the post holder will drive improvements, providing guidelines where required.


Main Duties And Responsibilities

* Act as the operational owner for all Procurement‑utilised information and data systems, ensuring they are well maintained and fit for purpose
* Serve as the main point of contact between Procurement and the internal Finance Business Systems team and system suppliers as appropriate
* Oversee data input quality, data cleansing and general system housekeeping, working with data inputters to improve quality and consistency
* Support the development of accurate and reliable procurement reporting for both the Procurement team and other internal stakeholders
* Lead regular reviews of the fitness for purpose of existing systems and the ways they are used
* Identify opportunities to improve procurement processes through better use of systems and data
* Provide guidance to end‑users in efficient and correct usage of the systems
* Encourage ethical decision‑making, embedding the University sustainability strategy into work wherever possible
* Perform any other duties commensurate with the grade of the post


Person Specification

You should provide evidence that you meet the following criteria. Selection methods will include reviewing your online application, seeking references, interviews and other relevant assessments.


Criteria

* Experience as the operational owner for information systems, ensuring they are maintained, accurate, and generate quality operational data
* Willingness to act as the main point of contact between Procurement staff and system providers for issue resolution and development opportunities
* Relevant qualification or equivalent experience in procurement, supply chain or accountancy
* Ability to work proactively to assess and organise resources, plan and progress work activities and projects
* Ability to develop creative approaches and solutions to problem solving
* Ability to build and maintain effective relationships with key stakeholders (both internal and external)
* Experience in improving data input quality, cleansing and general system housekeeping
* Demonstrable enthusiasm, creativity and drive towards change
* Confidence in the development of accurate and reliable procurement reporting
* Experience in identifying opportunities for optimising usage of information systems through better data utilisation
* High level of confidence working with data and spreadsheets
* Confidence with a willingness to challenge and be challenged
* An understanding of Higher Education business processes


Further Information

Grade 6

£32,080 – £36,636 per annum. Potential to progress to £39,906 per annum through sustained exceptional contribution.
