Job Overview
We are seeking a highly organised and proactive Personal Assistant to support the Director and manager. The ideal candidate will possess exceptional administrative skills, strong attention to detail, and the ability to manage multiple tasks efficiently and essentially be an all rounder. This role is pivotal in ensuring smooth operations and effective communication within the organisation.
We are a growing company with a current turnover of 7-million with a plan to double within December 2026. We are in the process of expanding as we have outgrown our current warehouse and we have a family run business with 10 employees.
We manufacture supplements in Worcester and our sales channels are Amazon. We are now expanding on TikTok and and Holland and Barrett within the next 4-weeks. We need support with the below requirements.
Duties
* Provide comprehensive administrative support to the Director, including managing calendars and scheduling meetings.
* Source and procure raw ingredients for encapsulation, tablet manufacturing or powder development.
* Handle phone calls with professionalism and courtesy, ensuring all communications are directed appropriately.
* Support the manager in managing import documents, delivery notes, COAs (certificate of analysis), batch records and making sure we have full traceability.
* Utilise Microsoft 365 for document creation, management, and collaboration with team members.
* Supporting the director and manager with HACCP certification and maintaining records.
* Dealing with current and potential clients.
* Support financial management tasks using Sage for invoicing.
* Organising raw ingredient samples for current and potential clients. For example, sending 500g of bovine collagen in a foil zip bag to a new client for quality and testing.
* Creating/updating policies.
Requirements
* Proven experience in an office or administrative role is preferred but not essential.
* Strong organisational skills with the ability to prioritise tasks effectively.
* Excellent phone etiquette and interpersonal skills for professional communication.
* Proficiency in Microsoft 365 applications (Word, Excel, Outlook, OneDrive) is required.
* Familiarity with Sage is advantageous but not mandatory.
* Ability to perform data entry with a high degree of accuracy.
* A proactive approach to problem-solving and a willingness to learn new skills.
* Strong attention to detail and ability to work independently as well as part of a team.

Pay: £25,000.00-£33,000.00 per year
