THE ROLE: Based at our Banbridge HQ, the successful candidate will be responsible for the appointment, planning, and co-ordination of Field Engineers assignments to customer locations globally. They will ensure that all administrative tasks are carried out efficiently and effectively. WHAT YOU'LL DO: Selecting suitably skilled Engineers and posting them to relevant assignments as per the job requirements. Maintaining and updating work schedules and planners to accurately record job activities (start/completion) and availability of all Engineers. Organising travel arrangements and associated administration to support the Engineer getting safely to and from the customer’s site within the agreed/contractual timeframe. Sourcing and booking the most efficient and cost effective flights, accommodation, transport, tickets and all other relevant travel arrangements. Actively communicate and update Engineers with travel arrangements, assignments and any changes that may arise, in a timely manner. Deal with Engineers queries in an efficient, proactive and empathetic manner - escalating to management where appropriate. Prioritise tasks and manage customer expectations, taking ownership and accountability for assigned tasks, whilst maintaining confidentiality. Authorise expenditure within agreed limits, maintain records of expenses where appropriate. Accurate and up to date recording keeping, maintaining organised administrative systems including managing the holiday/leave planner, in line with operational requirements. Actively support team members within the planning team and other departments. Regularly providing progress reports and updates to the Operations Manager. Undertake out of hours tasks on a rota or as required basis. Undertake training as required or as identified by management for the proper execution or development within your role/company. ESSENTIAL CRITERIA: Excellent planning, organisation, multi-tasking and time management skills with proven ability to achieve deadlines and meet targets. Previous administrative experience in an office environment or similar role is preferable. Be proficient in use of Microsoft Office packages. Able to work unsupervised and prioritise tasks. Able maintain a high standard of work when under pressure. Excellent, proven interpersonal, written and verbal communication skills. Good analytical and numerical skills. Be flexible and adaptable to change, to meet the needs of the customer, both internal and external. Being enthusiastic, motivated any pay close attention to detail.
