Job Title: Administrative Assistant
Department: Executive Support Team
Reports To: Executive Team Lead
Location: Cheltenham
Role overview
The Administrative Assistant effectively assists the Executive Support Team to ensure that the company goals and objectives are met, and operations run smoothly.
The role is also responsible for managing the Cheltenham office and assisting with the London office when required.
Key accountabilities
Administrative support
1. Assist the Executive Support Team with administrative support
2. Booking and administration of travel and accommodation
3. Manage post and courier bookings
4. Manage telephone queries
5. Maintain spreadsheets and keep data up to date and accurate
6. Manage procurement of stationery, office provisions, office equipment and gifts
7. Co-ordinate on and off-site meetings and events.
Office management
8. Office management for the Cheltenham office, ensuring it always provides a first-class working environment
9. Provide office assistance for the London office (approximately one day per month). Travel costs will be covered for this by the company
10. Facilitate on-site meetings when required.
Event Responsibilities
11. Assist in the planning and facilitation of events and colleague engagement initiatives
12. Help to source venues and attend events to oversee set up and execution
13. Post event evaluation with a continuous improvement approach to providing the best events possible
Skills and Experience
Essential:
14. Excellent computer skills using Outlook and Microsoft packages
15. Exceptional people skills are essential as this role will work with a wide range of people both within and outside of PortmanDentex
16. Persistence and diplomacy
17. Ability to manage time effectively and work in a fast-paced environment
18. Flexibility and adaptability
Desired:
19. Previous experience in administration, office management and/or event planning
