About the role We are looking to recruit a Warehouse Administrator to join our Logistics team at Lincat. This dual-function role supports both the day-to-day operational efficiency of our warehouses and the administrative coordination of outbound export logistics. The ideal candidate will be hands-on, well organised, and comfortable working across both physical warehouse activities and administrative tasks in a fast-paced environment. Hours of work: 37.5 hours per week, Monday to Friday, 08:3016:30. Key Areas of Responsibility Warehouse Operations: Pick, pack, and dispatch orders according to company standards. Operate warehouse equipment (e.g., pallet jacks, forklifts) Loading and unloading of daily deliveries and collections, including vehicles and ocean containers. Maintain cleanliness, organisation and safe working practices within the warehouse Conduct regular stock checks and assist in inventory audits. Administrative Duties: Support the Export Coordinator with the preparation and management of accurate export documentation (e.g. commercial invoices, packing lists, certificates of origin, shipping instructions) Coordinate shipments with freight forwarders, couriers, and logistics partners. Monitor and track outbound shipments to ensure on-time delivery and meet customer expectations. Ensure compliance with international trade laws, sanctions, and export controls (e.g., Incoterms, HS codes, customs declarations). Liaise with internal teams (Sales, Production, Warehouse, Spares) to confirm product availability, preparing pallets and shipping readiness. Maintain accurate shipping records and logs for audit and reporting purposes. Update stock records and inventory systems. Monitor stock movement and assist with stocktakes and audits as needed. Investigate inventory discrepancies and escalate issues where appropriate Ensure compliance with legal and regulatory requirements related to transportation and distribution, including safety standards. Collaborate with other teams (Sales, Customer Service, etc.) to investigate and resolve problems efficiently. Maintain accurate filing and record-keeping of warehouse documents. Work flexibly across the distribution office and warehouse by covering for holidays and absence where required. Experience, Skills and Knowledge Proven experience in export coordination, logistics, or international shipping Good understanding of international shipping regulations, Incoterms, and customs procedures. Excellent organisational and communication skills Proficient in Microsoft Office and logistics software Ability to manage multiple shipments and deadlines in a fast-paced environment High attention to detail and accuracy Strong problem-solving and decision-making Effective time management and prioritisation Customer-focused approach Ability to work collaboratively across teams and departments Self-motivated, works on initiative and can work with minimal supervision Commitment to continuous improvement, identifying opportunities to enhance efficiency, quality and performance Forklift licence desirable
