Facilities Coordinator (Industrial / Manufacturing Site)
Aberdeen, Scotland
12-Month Fixed Term Contract
£16.83 - £18.50 per hour
Monday to Friday | 40 hours per week
Daniel Owen are recruiting for an experienced Facilities Coordinator to join a busy industrial manufacturing site in Aberdeen. This is a hands-on role with a strong focus on technical coordination, contractor management, and HSEQ compliance, helping to ensure the site remains safe, efficient, compliant, and operationally effective.
The Role
As Facilities Coordinator, you will support day-to-day facilities operations across a technically demanding environment, ensuring planned and reactive works are delivered effectively with minimal disruption to production.
Key Responsibilities
Industrial Maintenance & Asset Management
1. Coordinate and oversee PPM schedules for critical assets
2. Respond to reactive maintenance requests, diagnose initial issues, and coordinate appropriate technical resolution
3. Use a CAFM system to log, track, and close work orders, maintaining accurate compliance and asset history records.
4. Carry out regular site inspections, focusing on asset condition and HSEQ standards.
Technical Vendor & Contractor Management
5. Source and manage specialist contractors and technical vendors (electrical, mechanical, HVAC, lifting equipment, fire safety etc.).
6. Produce scopes of work, review/challenge quotes, and support procurement to ensure value and technical suitability.
7. Oversee contractors on-site, ensuring works are completed to specification, quality standards, and HSEQ requirements.
8. Ensure documentation is in place prior to works commencing (RAMS, insurance, certifications) and facilitate inductions/briefings.
HSEQ Compliance
9. Support compliance with UK legislation and internal procedures relating to facilities operations.
10. Assist with reviewing RAMS, particularly for high-risk work (working at height, confined spaces, electrical/hot works).
11. Support adherence to Permit to Work (PTW) and Lock Out Tag Out (LOTO) processes.
12. Contribute to safety walk-arounds and support investigations into facilities-related incidents, implementing corrective actions.
Operational Support & Project Coordination
13. Liaise with production/engineering/operations teams to minimise disruption and maintain continuity.
14. Support minor works and small projects (installations, upgrades, energy efficiency initiatives).
15. Maintain accurate facilities documentation (service reports, logs, asset registers, drawings, certificates).
16. Manage facilities-related consumables and spares inventory.
About You (Essential)
17. Minimum 3 years' experience in a facilities or maintenance coordination role within industrial / manufacturing / heavy engineering (or similar).
18. Experience coordinating PPM and reactive maintenance
19. Proven experience managing external contractors.
20. Working knowledge of industrial HSEQ processes including PTW, LOTO, risk assessments and RAMS.
21. Experience using CAFM systems for work orders, asset registers, and scheduling.
22. Strong communication and organisational skills; confident managing multiple priorities.
23. Proficient with Microsoft Office (Word, Excel, Outlook), particularly Excel.
Desirable
24. Technical qualification (e.g., NVQ Level 3/4, HNC/HND in Engineering/FM or similar).
25. IOSH Managing Safely or NEBOSH General Certificate.
26. Knowledge of LOLER, PUWER, Electricity at Work Regulations and/or high voltage systems compliance.
27. Exposure to budget tracking and cost control.
