Job Opportunity: Administration Assistant - Power T&D (EGL2 Project)
Location: Willerby, Hull (relocating to Market Weighton in October)
Balfour Beatty's Power Transmission & Distribution team is looking for a proactive Administration Assistant to support the Health, Safety & Wellbeing (HS&W) and Environment & Sustainability (E&S) functions on our EGL2 Project.
What You'll Do:
As an integral part of the project team, you will:
* Manage day-to-day administrative tasks for the HS&W and E&S function.
* Maintain accurate records within our integrated Safety Management Systems (iSMS).
* Assist in the close-out of incident and observation reports.
* Support the onboarding process by administering safety inductions.
* Collect, compile and format key data and statistics for HS&W and E&S reporting.
* Help prepare monthly business HS&W and E&S returns.
What you'll be doing
* Accurate record keeping and management of sensitive data Provide HS&W plus E&S sup
* port and advice to the project/business area
* Developing open and effective communication with stakeholders
* Accurately record & review local HS&W plus E&S event data
* Carry out site visits and tours of work locations
* Collation and submission of client HS&W plus E&S reporting as required
* Collation and submission of best practice reports in line with the customer
* Creating, updating and distributing monthly HS&W plus E&S dashboard
* Development and distribution of local TBT's
* Collating and distributing weekly HS&W plus E&S comms including open observations
* Updating Project on a Page HS&W plus E&S stats
* Updating weekly HS&W reporting data for regular progress meetings
* Administrating project HS&W plus E&S awards and collating evidence
* Creating and maintaining visual HS&W display in office area
* Maintaining Safety Leader board and sensible monitoring SMS board
iSMS Management
* Uploading for uploading hours to iSMS before end of each month
* Reviewing open investigations and monitoring and closure of records
* Running local iSMS reports to assist with project monitoring
Webportal Management
* Reviewing open reports and monitoring and closure of records
* Running local Webportal reports to assist with project monitoring
* Monitoring the project sustainability returns on the portal
* Assisting site teams with the use of the Observations App
* Managing Msite registration
* Updating the training matrix, running reports and booking training
* Administer Site Assist and run reports Inductions
* Administering the site registration process for project inductions
* Sending invites, creating induction bookings and administration or registration process
* Liaising with suppliers and resource team to facilitate induction sessions
* Updating and monitoring the M-Site record system
* Developing monthly induction rota for HS&W plus E&S team
* Assisting with the delivery of inductions along with all members of HS team
Safety Leader Programme Coordination
* Updating and distributing KPI report before the end of each month
* Managing safety leader completion of KPI activities
* Provision of reasonable administrative support for Safety Leaders
Sensible Monitoring
* Uploading weekly site inspection to HSES Webportal
* Assisting with mainitaining the Sensible Monitoring board up to date
* Managing Sensible monitoring records

* Proficient in the use of MS Office, Teams and generally IT literate

* Working towards or prepared to work towards formal H&S qualifications
