Receptionist / Administrator - Fixed Term Contract

Location: Harley Street Dermatology Clinic,35 Devonshire Place, London. W1G 6JP

Contract Type: 12-month Fixed Term Contract - Full Time

Hours: 40 hours per week, working shifts between the hours of 7.30am and 8.00pm covering 5 days per week Monday to Sunday

Salary: £27,000 per annum

As Receptionist / Administrator, you are responsible for supporting the overall Reception function within the Clinic. You will ensure that patients receive a friendly, efficient and professional service. You are a crucial part of the team looking after the day-to-day running of the clinic. You will work in conjunction with The Dermatology Partnership, Central Bookings and Central Admin Team.

Role Responsibilities:

* Check in patients, manage appointments (bookings, follow-ups, cancellations), and ensure a smooth patient journey.
* Answer incoming telephone calls promptly and professionally, directing queries appropriately and providing accurate information to patients, consultants, and internal teams.
* Post letters, handle documentation, audit trails, and consultant referral/charge sheets accurately.
* Assist with doctors' and nurses' administrative needs and responding to queries.
* Understand self-funding/insured patient processes, take payments/deposits, process refunds, and liaise with the bookings team.
* Follow Standard Operating Procedures for all tasks, including internal referrals, patient documentation, and end-of-day responsibilities.

Key Skills / Qualifications needed for this role:

* Experience of working in a high-level customer face to face customer service environment is essential
* A strong work ethic with a proactive and dependable approach
* Genuine passion for delivering exceptional patient care and service
* Excellent communication skills, both verbal and written
* A collaborative team player who contributes positively to the environment
* Strong organisational skills with attention to detail
* Comfortable using IT systems and handling administrative tasks
* A friendly, welcoming manner with a focus on creating a positive patient experience
