Our client is a long-standing, family-owned business who work in the construction sector. They work on projects of all sizes across the UK, providing bespoke turn-key solutions, from initial consultancy and planning, to full on-site installation. The business is now looking to recruit a PA to Directors due to the current long-standing PA leaving soon. The Role: In this role, you will be supporting 3 of the company Directors with all day-to-day administration and project support. The position is wide-ranging but will require the successful candidate to have very good organisational skills, as well as a very high standard of communication (both written and verbal), as you will be liaising directly with the company’s clients. As you would be working within a busy SME, it is likely that the duties in the position will change over time, so we are looking for someone who is able to be flexible and adapt to business changes. The position is full-time and based at their Banbury HQ, so would suit someone based locally. Key duties & responsibilities: Providing full PA support to (up to) 3 Directors, including arranging meetings, note-taking and full diary and correspondence management as detailed below. Managing all internal correspondence on behalf of the company Directors. This ranges from emails to post, as well as fielding telephone calls and taking/passing messages etc. Full diary management on behalf of directors. You will be using MS Office 365 Outlook calendar, so will need to be fully versed in online calendar management. Managing project administration – able to liaise with internal and external stakeholders on project timelines/progress, provide information in a timely manner, and pass important information between teams/decision makers. Update clients by phone/email on project progress and manage any other requests as instructed. Some general human resources administration as required. Assistance with running the company’s social media pages. Taking photos/short videos and producing suitable content to post on social media on a regular basis. Any other reasonable duties as required. Skills, Experience and Education required: We are seeking applications from people who have prior executive support experience, as either a Personal Assistant or Executive Assistant. Ideally this will have been with an SME sized organisation but this is not a mandatory requirement. Excellent communication and stakeholder management skills. Naturally organised and able to work to deadlines and manage numerous administrative tasks simultaneously. Very good general IT skills, in particular MS Office 365, including Outlook, Word, Excel and PowerPoint. A general understanding of social media platforms and photo/video production for use with social channels. Flexible nature and happy to be involved with any company projects as required. General secondary education required, with minim GCSE grades C in Maths and English (or equivalent). Own transport and UK driving license would be beneficial.
