This role will play?a key role in?supporting?the administrative processes and tasks?that underpin?the Rhodes Scholarship?and support the Scholar?experience?- from the point of selection in?their?home country, through their tenure in Oxford, to the p oint of going down. The role will be responsible for Work ing closely with the Scholar Services Manager to support the administrative processes underpinning the Scholarship and Scholar community, fielding queries from the team inboxes and in person, liaising with Scholars, staff across the house and the wider organisation, and other stakeholders, including departments and colleges of the University Responsible for the timely production of funding confirmation letters and other standard correspondence Support ing the graduate application process, for example by reviewing, extracting and uploading references from the Rhodes application, where appropriate Responsible, with support, for the collation and circulation of the bi-weekly communications email to the community of approximately 350 Scholars in Residence to keep them abreast of requirements, news and opportunities, as well as a less frequent mailing to Scholars Elect Maintain ing and updat ing content on the Scholar online platform, including posting relevant external opportunities and keeping images and key information current; publish ing and collat ing public-facing Scholar bios; and produc ing the annual Scholar Photobook for publication Administer ing ad hoc Scholar opportunities, e.g. scheduling and facilitating mentoring meetings, circulating invitations and managing responses; and co-ordinat ing annual Scholar 1:1s with the Warden Role modelling the Trusts organisational values of commitment, inclusion, belonging, growth and innovation. Essential skills, experience and qualifications: U ni versity degree and/or professional experience in Higher Education Service oriented and with the flexibility always to offer a friendly welcome to an unexpected Scholar or other visitor without getting overly distracted from the task in hand Team player with a positive approach to new challenges and the ability to build strong working relationships with immediate colleagues, with the Rhodes House team and with university colleagues Quick to learn, adaptable and flexible; ready to seek guidance as applicable Sensitivity and discretion in dealing with a wide range of people on many different issues Ability to work on a multiplicity of tasks independently and, at the same time, to organise and prioritise own work or to ask for help in doing so - including coping with unpredictable volumes of work and busy periods Excellent attention to detail Excellent IT skills, including experience with Microsoft packages (Word, Excel, Sharepoint, PowerPoint, and Outlook), databases and Zoom Desirable skills and experience: E x perience of academic administration is desirable but not essential for the right c a ndidate Experience using Salesforce Demonstrated interest in, or ability to quickly learn and develop proficiency in, CRM platforms and new systems Benefits of working here We are a global organisation and we use our deep connections across the world to bring together people of different backgrounds and viewpoints.
